The Firehall Theatre Society/Firehall Arts Centre is a not-for-profit charitable organization whose mandate is to produce and present theatre, dance and inter-disciplinary works that engage the soul, stimulate the mind, entertain the spirit and reflect the cultural pluralism of Canada.  Entering its 29th season, the Firehall Arts Centre houses a 136 to 175 seat flexible theatre which produces and presents its own season, as well as functioning as an active rental venue for many local artists and arts organizations.  The Firehall is a conscientious, respected community leader and artistic hub in Vancouver’s Downtown Eastside.

The Firehall Arts Centre is currently accepting applications for a permanent Full-Time Administrative Coordinator to join our team.  Reporting to the Artistic Producer and Associate Producer/Operations and working in conjunction with the Box Office Coordinator, the Administrative Coordinator is a key member in the daily administration of the Firehall Arts Centre and an integral support to the management and organization of the facility.  This is a full-time position working Monday through Friday, 9am to 5pm and is salaried $25,000 to $30,000, commensurate with experience.

Responsibilities: 
  • Acting as a strong, organized Firehall representative and liaison with patrons and guests, ensuring traffic control of the administrative space
  • Ensuring administration office operates in a professional manner and that office equipment/computers and supplies are maintained and accessible to staff
  • Data Entry, list management, including coordinating, compiling and maintaining mailing lists, contact lists and opening night lists
  • Providing clerical support to Production, Marketing and Development departments, and Artistic Producer, as needed
  • Handling and directing incoming calls, general emails, greeting visitors and guests, and managing all general inquiries
  • Assisting with preparation and organization of special events
  • Facilitation, coordination of the Gallery Space setups and strikes and ensuring adherence of  best practices policy is followed
  • Organizing and maintaining all digital and hardcopy files for the organization
  • Facilitating deliveries, general building inquiries (ie. BC Hydro, etc.), and ordering basic supplies and other items
  • Assisting with ticket sales, subscriptions and other box office related inquiries
  • General faxing, photocopying and other administrative duties as necessary
  • Preparing and delivering bank deposits, assisting with banking needs as necessary, and assisting with general bookkeeping
  • Ensuring mail is sorted and taken out on a regular basis, and responding to correspondence as requested
  • Assisting with marketing mailings, subscriber and single ticket mailings, donation mailings, etc.
Qualifications: 
  • Must be comfortable working in a busy arts organization; previous experience with the Vancouver cultural and community service not-for-profit sector an asset
  • Must be willing to work as part of a small team in the administration of the Society
  • Knowledge of Simply Accounting and the Theatre Manager ticketing system an asset, willing to train the right candidate
  • Friendly, confident, a great communicator, and have a love for the performing arts
  • Possess a high level of computer proficiency including Windows, Excel and Microsoft Word (PC only)
  • Post-secondary education in arts management or relevant experience an asset
  • Able to work in a computer network environment
  • Able to prioritize, multitask, and work under minimal supervision, possess strong follow through capabilities on tasks and issues
  • Strong organization and filing abilities, detail oriented, self motivated and a strong ability to problem solve
  • Working knowledge of administrative procedures, practices and use of office equipment and computers
