Job Description: 

The Artistic Coordinator is responsible for working closely with the Artistic Planning and Education departments to assist in a multitude of support duties within these areas. The artistic coordinator represents Vancouver Opera in a positive and professional manner with the artists, colleagues in other arts organizations, school and community members, and volunteers.


•           Maintains and enters data into database (artist and production information)

•           Maintains various artist lists including chorus, orchestra, supers, security lists

•           Works with Director of Artistic Planning (DAP)on scheduling rentals at the O’Brian Centre and is the contact person for rentals once contracted

•           Will be required to be at Centre after normal business hours to open or lock-up

•           In consultation with the Company Manager,books supernumeraries (supers)

•           Fosters relationships with current super sources and develops new sources

•           Oversee children’s chorus and requirements for chaperones

•           Coordinates material mail-outs with Vancouver Opera In Schools (VOIS) Manager

•           Designs Young Artist Program audition brochure, oversees application process and organizes annual audition tour in conjunction with Education Manager

•           Coordinates all artistic department auditions: chorus, orchestra, VOIS, Young Artists’ Program (YAP) and others as required including booking audition hall, pianist, piano-tuning and scheduling auditions

•           Handles details relating to orchestra auditions including announcements audition repertoire discovery and distribution, scheduling, booking audition hall, liaising with Musicians’ Union and Orchestra Manager in conjunction with DAP

•           Prepares orchestra and chorus contracts in conjunction with the Company Manager

•           Maintains and updates chorus and orchestra member lists for main stage season

•           Coordinates and oversees orchestra outreach projects: Bard on the Beach; etc.

•           Coordinates chorus & orchestra bulk mailouts and email communications

•           Maintains notice boards in Martha Lou Henley Rehearsal Hall

•           Faxes congratulatory letters to Canadian opera companies prior to opening night

•           Orders opening night flowers for presentation to artists on stage in consort with Development department

•           Coordinates departmental activities as requested

•           Attends rehearsals and performances as requested

•           Performs miscellaneous clerical duties as requested


•           Strong desire for career in arts administration

•           Excellent verbal and written skills

•           Excellent computer, reasoning and organizational skills

•           Extraordinary attention to detail

•           Ability to handle multiple projects, high degree of initiative
