Job Description: 

The Vancouver International Film Festival (VIFF) is a not-for-profit charitable cultural organization that operates Western Canada’s largest film festival, one of the five largest in North America. Established in 1982, the VIFF draws an audience of 150,000 per year. VIFF also operates the annual Film and Television Forum and the Vancouver International Film Centre, with its year-round programming at the Vancity Theatre.

Due to growth and restructuring, an exciting new executive position has opened. The Director, Finance & Administration will join the Festival Director & CEO and the Director, Development & Communications on the senior executive team responsible for managing an annual operating budget of approximately $3.5 million.

Reporting directly to the Festival Director & CEO, and working closely with peers and colleagues on staff and with the highly engaged Board of Directors, the Director, Finance & Administration will have responsibility for the following finance and administrative functions:

Responsibilities: 

Finance:

▪ Strategic financial planning, management of investments, and liaising with external stakeholders (i.e. auditors, financial institutions, government agencies) on behalf of VIFF;

▪ Full cycle accounting and the preparation of monthly financial statements and management/board reports; leading the process for the preparation of the annual VIFF budget;

▪ Attending regularly scheduled meetings of the Board of Directors and VIFF members (i.e. the Annual General Meeting) to present financial information;

▪ Actively contributing financial information as required in the preparation of grants from all levels of government and other funding bodies;

▪ Reviewing the existing financial systems and recommending and implementing new policies in the areas of internal controls and centralized invoicing;

▪ Supervisory responsibility of a seasonal bookkeeper and future finance staff as the department grows;

▪ Maintaining a rigorous schedule of internal audit and analysis to determine process improvements across the organization;

▪ Business analysis of ongoing strands of VIFF programming and partnerships, including financial implications of complementary programs.

 

 Administration:

▪ Administrative oversight of operational systems (accounting, IT, website, ticketing, etc), and interdepartmental communication.

▪ Human Resources oversight including creating staff policies and procedures and space and resource rationalization

▪ Working with the Festival Director & CEO, the Director, Development & Communications, and other department heads on business planning for year-round operations, and the efficient administrative execution of event planning for the annual film festival.

In addition to day-to-day oversight of these systems and personnel, the Director, Finance & Administration will work closely with senior staff in presenting a public face to the organization, especially as it relates to broadening business opportunities for—and the financial success of—the year-round operations of the Vancouver International Film Centre.

Qualifications: 

The successful candidate will have 5+ years of senior finance experience, preferably in the non-profit cultural sector, and a recognized accounting designation (or near completion). Strong business acumen and a track record of forming positive, collaborative partnerships with internal and external stakeholders is required and expected.
