Reporting to the Executive Director and working with the Events Coordinator, the Events Assistant facilitates Place des Arts’ summer events in all aspects.

Responsibilities: 

Events: Work with the Events Coordinator to plan, organize and implement Place des Arts’ events.

Fair in the Square
Assist with all production aspects of a two day community arts and heritage festival on July 10 and 11. Estimated attendance: 2500 people, Ensure ongoing communication with over 50 performers, artists and demonstrators, Assist with the supervision of over 100 volunteers

Year-end Dance Recital
Assist with all coordination aspects of a dance recital at the Terry Fox Theatre showcasing over 100 dancers. Assist with group wrangling and communicating information to dancers, instructors, parents and volunteers

Volunteers: Work with the Volunteer Coordinator to recruit, train, schedule, monitor, supervise and recognize volunteers for Place des Arts’ summer events.

Fundraising: Assist the Resource Development Coordinator in securing and collecting donations for the Fair in the Square Silent Auction. Ensure that donors are recognized for the contributions.

Promotion: Assist the Communications Coordinator in the preparation and distribution of promotional materials totarget audiences. This will include making deliveries of promotional materials to community organizations.

Internal Events: Coordinate the Place des Arts Summer Fun! Program Friday Fun Day performances with the Summer Program Assistant. Organize displays of children’s artwork in the centre. Assist with after hours care programming. Assist with the performance and development aspect of the ArtReach art camp.

Reporting: Complete a final report describing the work plan, compiling event statistics, summarizing evaluations, and offering recommendations to improve the events.

SPECIFIC ACCOUNTABILITIES:

Aid in the organization and execution of Place des Arts Year-end Dance Recital (June 27)
Assist in the production of Fair in the Square (July 10 and 11)
Assist in fundraising, sponsorship and donor recognition for Fair in the Square. Keep detailed records on donor information.
Assist with coordination of Faculty Appreciation week, volunteer orientations and appreciation events
Plan Place des Arts’ involvement and attendance at other community events throughout the summer.
Assist with the planning of Place des Arts’ fall fundraising event.
Assist with the promotions and publicity for Place des Arts’ summer events.
Assist with the supervision and recognition of volunteers for events

Qualifications: 

Previous experience hosting and coordinating events

Excellent communication, writing and organization skills for a fast-paced environment

Well organized, detail-oriented, and able to work with a variety of personalities

Must have a flexible work schedule which can accommodate daytime, evening and weekend shifts and additional hours as needed. Candidates must be available June 27, July 10 and 11.

Strong desire to provide exceptional customer service

Proficiency in MS Office, navigating the internet and the ability to use new software

Ability to lift up to 30 pounds

Must be between 15 and 30 years of age at start of employment

Must have been registered as a full-time student in the previous academic year, and intend to return to school on a full-time basis in the next academic year

Must be a Canadian citizen, permanent resident or person on whom refugee protection had been conferred under the Immigration and Refugee Protection Act

Must be legally entitled to work according to relevant provincial legislation and regulations

Must not hold another full-time (30 or more hours) summer job or full-time study during their employment

Remuneration: 

Full-time, 14 week contract Monday to Friday (subject to Canada Summer Jobs funding)
Start date: 17 May 2010
Rate: $12 / hr (37.5 hour work week)
