Bring your positive attitude to this Executive Assistant position and work closely with the firm’s two principals and senior management team.  This interesting and varied position will be best suited to a highly capable, experienced executive assistant who enjoys taking initiative, working closely with creative people as well as independently and is pleasant, confident, self-motivated, detail-oriented, and interested in architecture and design. The creative team of professionals at Bing Thom Architects (BTA) design a wide spectrum of projects worldwide from single‐family residences to the design of entire cities. BTA’s philosophy is based on a fundamental belief in the power of great architecture to transform, not only the physical, but also the economic and social conditions of a community. The firm has been the recipient of numerous honours and awards, including the 2010 Architectural Firm Award from the Royal Architectural Institute of Canada.

Responsibilities: 

This Executive Assistant position’s focus is to provide comprehensive, confidential administrative support to the firm principals and to oversee, organize and ensure the effective operation of the office. The position independently undertakes and coordinates a wide variety of office activities. This position communicates and liaises with business and government leaders. The position works collaboratively with all staff to meet objectives. The Executive Assistant drafts and prepares a wide range of documents, presentations and other materials; screens and responds to correspondence, inquiries and phone calls; develops and maintains a well organized filing system that permits easy reference and rapid retrieval of information; undertakes various projects and organizes staff events. This position manages the principals’ calendars and contacts, makes meeting arrangements, and organizes and coordinates travel.  The individual is also responsible for continuously expanding and updating their professional skills.

Qualifications: 
  • Post secondary education in a related field, or an equivalent combination of education and experience
  • Ten years experience providing senior-level administrative support / executive assistance
  • Demonstrated confidentiality and discretion with handling sensitive information and issues
  • Proven ability to interact with a high level of professionalism and good humour, dealing positively with individuals at all levels, both inside and outside the office, to build harmonious relationships
  • Demonstrated ability to effectively prioritize work, organize office operations, adapt to change, handle and deliver on multiple tasks and projects in a fast-paced creative environment while maintaining composure
  • Able to organize travel and meeting arrangements, and re-organize as plans evolve or change.
  • Able to anticipate needs, be proactive, and take initiative while also thinking analytically
  • Able to exercise sound judgment and diplomacy
  • Excellent written and verbal English communication skills
  • Able to see what needs to be done and assist in any way needed while remaining cognisant of priorities
  • Proven proficiency with Microsoft Word, Excel, Outlook and PowerPoint.
  • Legally able to work in Canada
