Job Description: 

Public Dreams has an immediate opening for a dedicated individual to fill the contract position of Producer of our upcoming celebration, Illuminares 2011.  This position reports directly to the Managing Director of Public Dreams and contributes to the organization’s mandate by ensuring that the event is planned and executed within the scale, scope, and artistic/community engagement objectives outlined by Public Dreams. 

The Producer is responsible for executing the overall vision for the event, including: hiring and overseeing the production team, managing the production budget and schedule, and the planning and excution of all event logisticstical and technical considerations. 

 

Responsibilities: 

Budgeting & Financial Management

  • Forecasts and tracks expenditures and provide regular cost reports
  • Liases with Managing Director to highlight major budget increases or saves.
  • Works with Bookkeeper to ensure all suppliers are paid in a timely manner and ensures the production team has the resources needed to execute.
  • Works with the Managing Director to ensure payment procedures are in place to track and pay all costs in a timely manner.

Team Supervision

  • Works with the Managing Director to hire and supervise key production team roles;
  • Fields questions and addresses needs of production team;
  • Supports Creative Director by ensuring that creative vision for event is clearly communicated to talent and production team along with production details to make it happen.
  • Schedules, sets agenda for, and leads production team meetings and provides follow-up notes and support;
  • Facilitates postmortem and recommendations for 2012 event.

Planning

  • Develops project schedule, makes updates, and distributes to the production team;
  • Documents all production information and distributes to production team from planning to on-site.;
  • Liases with key event stakeholders including the City of Vancouver, community centres, venue and provides updates on event plan;
  • Coordinates on-site logistics including: hospitality, signage, security, electrical, rigging, tenting, transportation, crowd control, policing, set-up and strike, greenroom, porta-potties.

On-site Event Management

  • Oversees event day execution;
  • Troubleshoots event day details and liaises with the team to ensure smooth execution.

Administration

  • Works with Managing Director to draft production team and performers contract templates;
  • Ensures that all stakeholders requirements are met onsite;
  • Files contracts, invoices, and other event information in an organized and conscientious manner.
  • Takes on other office tasks and adminstration as needed. 
  • Creates and compiles event bible.

 

Qualifications: 

Education

  • Post-secondary education in a related field (event planning, theatrical stage management, talent management, film or theatre production etc.)

Knowledge, Skills, & Attributes

  • Knowledge of local talent & production personell and event suppliers beneficial
  • Exceptional attention to detail
  • Proficient with email & Internet software, Excel, and Word.
  • Drivers License essential

Experience

  • 5 years proven experience in events or production.
  • Experience as lead producer on large events.
  • Experience working in a demanding, deadline driven environment.
