Founded in 1985, the Dancer Transition Resource Centre (DTRC) is the only organization in Canada dedicated to helping dancers make necessary transitions into, within and from professional performing careers. It also operates as a resource centre for the dance community and the general public by providing seminars, educational materials, networking and information, as well as supporting activities that enhance the socio-economic conditions of artists. A national organization, the DTRC has offices in Montreal, Toronto and Vancouver, as well as representatives across the country. The DTRC is a not-for-profit, charitable organization.
Position Description:
The Project Coordinator will focus on coordination and logistics of three events: two Vancouver area on the MOVE conferences in early 2011, as well as the DTRC’s 25th anniversary Vancouver gala in the spring of 2011.

Presented each year by the Dancer Transition Resource Centre in collaboration with arts service organizations across the country, on the MOVE/ danse TRANSIT is a dynamic career-planning and networking event for graduating dance students and emerging dance professionals. There are two on the MOVE conferences in the Vancouver area: downtown Vancouver and Surrey. For more information, please visit: www.dtrc.ca/movetransit. Duties for these events include but are not limited to:
- Project management including creating timelines and action lists
- Coordinating conference speakers, kits, advertising and resource materials
- Working with the DTRC’s national office to coordinate on-line registration
- Liaising with DTRC’s Marketing & Communication Manager to promote the conference
- Working with DTRC’s Development Manager to secure conference sponsorship
- Assisting in managing conference budgets
- Organizing steering committee meetings and keeping track of assigned tasks
- Recruiting and organizing volunteers
- Liaising with venue and catering staff
- Coordinating registration and event set up
- Handling ‘day-of’ logistics
- Preparing post-conference report
DTRC 25th anniversary gala
DTRC 25th anniversary events will take place across the country in early 2011. The Vancouver event will be a gala which will include a performance, silent auction, promotional and fundraising activities. For the gala, duties include but are not limited to:
- Project management including creating timelines and action lists
- Managing the event contact lists and coordinating all mailings (invitations, press, tickets, thank you, confirmation)
- Communicating with and coordinating a volunteer steering committee
- Managing event budget
- Liaising with all suppliers including the venue representatives
- Liaising with the DTRC’s Development Manager in the production and delivery of sponsorship packages
- Liaising with guest artists and coordinating all travel arrangements and accommodation
- Liaising with all sponsors and coordinating the delivery of sponsorship benefits
- Coordinating the collection and disbursement of auction items
- Previous event planning experience
- Highly organized and detail-oriented
- Exceptional communication skills
- Exceptional multi-tasking skills
- Proficient in MS Office and experienced in database use
- Ability to work both in a team and with minimal supervision
- Knowledge of, and interest in, the Canadian dance community
- Previous experience in an arts or non-profit environment

This is a part-time, contract position of approximately 15 hours per week to start, with a term of 10 months. There will be an anticipated increase in hours leading up to the conferences and the gala.
