Job Information
The PAL Studio Theatre Society and PAL Vancouver are recruiting a hands-on Theatre Coordinator.
Located on the 8th floor of the Performing Arts Lodge (PAL) Vancouver the PAL Studio Theatre Society operates a 120 seat studio theatre as an amenity space for PAL residents and as a rental facility for theatre/performing arts producing companies, arts community organizations, and other renters. The Theatre is surronded by a lush rooftop garden and patio.
Job Title: Theatre Coordinator
Position type:
Part-time, 25 hours per week (on average). In this hands-on position, the incumbent will work flexible hours to accommodate working afternoons, evenings and weekends as needed to provide on-site coordination and supervision to ensure renters/audiences are assisted as needed during rehearsals, setup/take-downs and performances.
Under limited supervision the Theatre Coordinator performs a full range of administration, coordination and supervisory duties to support the effective and efficient running of the PAL Studio Theatre including but not limited to:
- Responds to all enquiries about the theatre in a courteous, respectful and timely manner
- provides tours to prospective theatre renters
- Actively promotes the theatre to potential renters with a view to maximizing the use of the facility
- Processes all rental inquiries and provides all relevant materials related to rentals to clients
- prepares and issues rental contracts and invoices to outside renters and to PAL resident renters as required
- ensures the safety of the building, its contents, and public attending performances; including any necessary updating and management of effective emergency and evacuation procedures.
- provides on-site coordination and supervision to ensure audiences and guests are assisted as needed
- provides supervisory assistance to production companies as required during rehearsal, load in/out and performance periods
- in conjunction with specialized volunteers (such as technical director) ensures all theatre equipment is maintained in good working condition
Qualifications
A minimum of 3 years demonstrated experience working in a theatre or arts facility setting is ideal. Graduation from a recognized theatre management and/or arts administration course preferred.
Abilities
- Excellent organizational and time management skills and the ability to establish priorities and complete assignments within tight timelines
- Ability to produce accurate reports and presentations using software such as Excel, Word, and PowerPoint
- Adept with Outlook calendar programs and basic website/blogging and social media programs
- Ability to manage sensitive issues with tact, diplomacy, and good judgment and maintain confidentiality in all communications
- Ability to perform a variety of complex work with speed and accuracy
- Ability to operate standard office equipment
- Ability to organize and prioritize work assignments
