Full time position - January 7 to October 31, 2019 (10 months)

The Latin American Week and Carnaval del Sol is a unique set of events that celebrate and promote the Latin culture in Canada. The Project Manager (PM) role is a key position that will oversee all activities related to the Carnaval del Sol in Vancouver and Kelowna and Latin American Heritage Month in October 2019. The PM will work closely with all festival team leads to create the logistical programming, manage budgets and create and execute a clear marketing and PR approach.

Our ideal candidate will have strong leadership skills, with prior experience delivering world-class events and festivals for thousands of attendees. The candidate must be experienced in sales, marketing & advertisement, event logistics, contract negotiation, security and safety. The ideal candidate also has demonstrated a knowledge of the Greater Vancouver market from both a public and private sector point of view. A core responsibility of the role will be forming partnerships with private businesses across Vancouver as well as local and other government officials as needed.

Organization and Planning

  • Work with Company Leads to plan, develop and deliver promotion strategies for CSOL

  • Develop the project plan, budget, schedule, risks of CSOL

  • Track progress and efficiency of the project budget (planned vs. spent) 
    Plan Carnaval del Sol layouts as well as the other events, the entertainment program, scheduling workshops and demonstrations

  • Work with marketing team to create a brand for CSOLs and assist with the production of tickets, posters, catalogues and sales brochures, plus social media coverage;

  • Make decisions about the schedule of events, the location of events, and the type of events for CSOL. 

  • Set program goals and participants, collaborate on marketing strategies and production plan, communicate program information with participants, sponsors, and partners

  • Represent Latincouver and its interests, including the overall Latin American Week effort, in public appearances with media, including radio, print, and television. 

  • Build relationships in the public sector with representatives of the local government, provincial government, embassies and consulates of foreign countries, and more. 

  • Work on bringing new partners/ sponsors to Carnaval del Sol, work closely with Executive Assistant and Executive Director to achieve company's targets
    Make final decisions between venues, services vendors, and promotional partnerships which includes sourcing leads, negotiating, and closing the primary deals for CSOL.

  • Identify, manage and lead the project organizational changes

  • Escalate significant issues that cannot be resolved by the team leads 

  • Secure acceptance & approval of deliverables from sponsors & stakeholders 
    Schedule team leads meetings and follow-up review

  • Be responsible for creating and achieving internal organizational deadlines, accountable on a monthly basis to the Board of Latincouver and its Director.

  • Create an atmosphere of fun and hard work which retains the best talent and ensures a successful delivery of the festival.

  • Coordinate on-site execution of all events and coordination between Plaza`s of CSOL

  • Ensure that Project Coordinator/ Plaza Coordinators exchange information with Production, HR and Marketing Leaders as well as Carnaval del Sol’s design team, vendors, and venues

  • Organization of different facilities for car parking, traffic control, security, first aid, hospitality and the media and liaison with the city of Vancouver. All the permits and letter to neighbors needs to be sent. 

  • Coordination of suppliers, handling client queries and troubleshooting before, during and post the event to ensure that all runs smoothly;

  • Oversee the dismantling and removal of the event and clearing the venue efficiently;

  • Coordinate various departments of Carnaval del Sol management team to meet project objectives and deadlines

  • Work with suppliers / service providers as requested. Attend meetings with suppliers / service providers as appropriate

  • Follow up with suppliers / service providers as appropriate and confirm all details for confidence 1-2 weeks before the day of the event

  • Post-event evaluation (including data entry and analysis and producing reports for all Carnaval del Sol event stakeholders).

  • Design timeline, schedule of events throughout the week, and organizing event logistics

  • Final report for the CSOL within up to 3 weeks after it

    Human Resources

  • Supervise and lead a team of up to 50 part-time employees and up to 300 festival volunteers. 

  • Work together with the Human Resources manager to recruit volunteers

  • Assist with the running and supervision of Carnaval del Sol management team and volunteers



  • University or college graduation in event planning, communications, public relations, marketing or other relevant discipline supplemented by formal business training

  • 1-2 years experience in marketing or event planning 

  • Outstanding communication and presentation skills both in public and customers relationship maintenance

  • Ability to work with flexibility, energy and commitment 

  • Self-motivated, reliable and with enthusiastic attitude 

  • Ability to speak confidently and with authority to large groups of people 

  • Have a sense of community and supportive attitude towards the teams 

  • Excellent time management skills with ability to work towards deadlines

  • Excellent attention to details

  • Knowledge of Latin American Culture is a must

  • Spanish or Portuguese is an advantage 

  • Knowledge of Microsoft Office Suite

  • Have capabilities of inspirational leadership, delegation, and performance management. 

  • Ability to perform well under pressure, meet tight deadlines, and recognize changing priorities

  • Deal effectively with non-routine matters and coordinate various activities

  • Ability to take responsibility and make independent decisions 

  • Ability to work cooperatively and to coordinate with a variety of individuals both within and outside the organization in a supportive and efficient team environment

  • Cross-cultural competence and sensitivity
