The Vancouver Pride Society (VPS) is organizing Canada Pride 2024 in Vancouver, including the annual Vancouver Pride Parade, Vancouver Pride Festival, and our inaugural Queer Rights Summit in addition to other annual events. VPS strives to produce inclusive, celebratory events, and advocate for 2SLGBTQAI+ communities through an intersectional lens.

Job Description:

As Conference Coordinator, you will be responsible for planning and executing the inaugural Queer Rights Summit from Aug. 1-3 as part of Canada Pride 2024 in Vancouver. If you have a passion for and enjoy creating memorable spaces for activists to make change, we would love to hear from you.

This is a part-time, contract role starting April 1, ending August 31. From start until July 22, expected work will be 10-20 hours per week on a flexible weekday schedule. From July 24 until August 4, expected work will be 20-40 hours per week with a schedule set based on the needs of the event from Aug. 1-3.

Responsibilities:

-Fulfill Vancouver Pride Society’s objective of delivering an impactful, inclusive, and accessible Queer Rights Summit as part of Canada Pride 2024
-Work with the organizing committee to ensure key themes of the summit are represented through programming
-Manage the overall budget, and ensure fulfillment of corporate partnership obligations
-Implement and manage the conference registration process
-Act as the primary point of contact for the conference venue
-Support every aspect of the attendee experience - including in person/on-site and virtual/online
-Ensure conference is accessible, by securing interpreters and translators, and other supports, as needed
-Ensure conference materials, including graphics, are created and delivered, in time for the conference
-Coordinate the conference schedule, and communicate effectively with workshop facilitators and panelists, and help coordinate their travel and accomodations
-Ensure clear communication with conference attendees, working with the VPS team to promote the event via social media and other marketing opportunities
-Work with stakeholders to arrange for swag for conference participants, with a focus on sustainability

Qualifications:

-Previous experience delivering successful conference-style events for 150+ attendees
-Strong organizational skills with the ability to multitask and prioritize tasks effectively
-Ability to stay calm in high-stress situations
-Experience with event and project planning tools and software
-Experience working within 2SLGBTQAI+ communities and associated terminology
-Excellent verbal and written communication skills in English
-Familiarity with hotel event and banquet operations is beneficial
