Job Description:

You will develop, implement, and
maintain administrative systems that support the smooth operation of the Gallery,
working closely with the Director of Operations, Executive Director, bookkeeping team,
and staff. The successful candidate will be detail-oriented, efficient and excellent at
multi-tasking.

Responsibilities:

● Oversee the implementation, development, and maintenance of administrative systems, both physical and digital
● Manage accounts payable, accounts receivable, and petty cash processes
● Support payroll administration in collaboration with the bookkeeping team
● Provide administrative and human resources support under the direction of the Executive Director and Director of Operations
● Work closely with the Visitor Experience Team and Shop Manager to ensure effective use of the POS system, including monitoring donations, consignor payments, cash reconciliations, and program registrations
● Provide coverage and operational support at the front desk and shop as required
● Deliver confidential administrative support to the Management Team and Board, including correspondence, filing, photocopying, and telephone communications
● Coordinate and manage facility rentals, including scheduling and client communication
● Support fundraising initiatives and participate in Membership & amp; Fundraising Committee meetings
● Assist with the preparation and submission of grant applications
● Support audit preparation by organizing and providing required documentation
● Prepare reports, spreadsheets, and other administrative documents to support operations and decision-making
● Coordinate meetings, including scheduling, agenda preparation, and minute-taking as required
● Liaise with external vendors and service providers to support operational needs
● Maintain accurate and organized electronic and physical filing
● Monitor and replenish office supplies, coordinating purchasing as required
● Support onboarding and orientation of new staff and volunteers
● Support and administrate insurance and benefits programs as a primary point of contact for staff and program providers.
● Assist in the development and preparation of insurance documents and insurance program reviews
● Perform other related duties as required

Qualifications:

● Certificate, diploma, or degree in Office or Business Administration
● 3–5 years of experience in an administrative support role
● Proficiency in Microsoft Office, Adobe, Excel, and other relevant digital applications
● Strong keyboarding skills
● Knowledge of accounting or bookkeeping principles considered an asset
● Financial administration experience or training considered an asset
● Human Resources experience or training considered an asset

Remuneration:

$47,000 - $52,000 salary
