Contract Dates: June 30, 2025 to June 30, 2026 with possibility of renewal
The MOVE and Intensives Coordinator plays a key role in supporting Ballet BC’s dance training programs and serves as a key point of contact at the Granville Island facility. The coordinator is responsible for managing registration systems, communications, instructor coordination and front desk support for MOVE classes and winter/spring/summer intensive training programs. With a strong focus on customer service, program logistics and team coordination, this role bridges administrative and artistic functions to support the success of Ballet BC’s community engagement and training initiatives.
Responsibilities:
Front Desk
- Serve as the first point of contact at Ballet BC’s Granville Island facility during core business hours, alongside the Artistic and Audience Services Assistant.
- Greet guests, answer inquiries, and provide general support to company members, collaborators, and the public; manage front door access during peak traffic times; and process Ballet BC merchandise sales.
- Check studios before and after classes to ensure cleanliness and readiness; troubleshoot any issues with studio equipment or supplies.
Shift Supervisor
- Manage the shift schedule and approve timesheets for part-time, casual Front Desk Attendants working evenings and weekends.
- Coordinate training for Front Desk Attendants on MOVE classes, intensives, rentals, and building procedures in collaboration with the Facilities Manager.
- Provide task sheets and shift instructions for Front Desk Attendants during MOVE classes, intensives and studio rentals from Arts Umbrella.
- Serve as the primary point of contact for Front Desk Attendants regarding questions or emergencies during their shifts.
MOVE Classes and Workshops
- In collaboration with the Move & Rentals Manager and the Managing Director, plan the MOVE program and adjust plans as necessary to respond to market conditions and class enrolment levels.
- Manage the program schedule and studio bookings for MOVE progressive series, drop-in classes and workshops, and coordinate studio booking schedule for Arts Umbrella rentals.
- Work with the Marketing team to promote MOVE classes, including writing copy for marketing materials, class descriptions, website content, social media, and feedback surveys.
- Contract and schedule instructors and accompanists; submit invoices to Finance for processing.
- Manage the Mindbody system for class scheduling, registration, and enrollment.
- Assist students with technical issues during registration or payment, and process refunds when applicable.
- Respond to inquiries about MOVE classes via email, phone, and in person.
- Communicate and enforce policies for class attendance and drop-ins.
- Compile and distribute class lists to teachers, and update as needed based on enrollment changes.
- Manage class waitlists, adjust capacities, and communicate openings to students.
- Notify students and teachers of any schedule or location changes, and coordinate makeup classes when necessary.
- Distribute photography waivers and coordinate with students and teachers when photography or videography is planned.
- Ensure that Front Desk Attendants and other staff are equipped and trained to support MOVE-related tasks during front desk shifts.
Intensive Training Programs
- Coordinate the audition process, including updating audition forms and announcements in collaboration with Marketing, and managing applicant communications.
- Liaise with the Artistic team responsible for audition review and dancer selection.
- Handle all applicant communication including audition status updates, registration, tuition payment tracking, information about arrival and accommodation, and general inquiries.
- Manage waitlists and communicate openings with applicants.
- Work with Marketing to plan merchandise stocking and sales.
- Assist Marketing with generating promotional content for email newsletters, social media and the website.
- Update emergency protocols as necessary and ensure staff and Front Desk Attendants are trained accordingly.
- Plan a group excursion and work with the Events team to organize the closing event for each session.
- Acts as the on-site contact for dancers, teachers, choreographers and staff during each session.
- Create, print and post the daily schedule during each session.
- Prepare and distribute faculty/choreographer/dancer headshot sheets.
Qualifications:
- Demonstrated skills in front line customer service and admin
- Experience with booking or scheduling software is an asset, specifically with class registrations
- Experience resolving customer issues or complaints
- First Aid certification or willingness to attend first aid training paid for by Ballet BC
- Knowledge of cash handling and payment processing procedures
- Knowledge of PCI compliance guidelines (credit card handling)
- Comfortable working in a lively, fast paced environment
- Excellent organization, communication and problem-solving skills
- Experience in dance and fitness industry valued

Remuneration:
$50,000 – $54,000 annually
