Job Description:

The Assistant Volunteer Coordinator will support the Volunteer Coordinator in providing an accessible and inclusive volunteer program at Bard on the Beach. Volunteers play an important role at our Festival acting as ambassadors and providing a friendly, welcoming face for our patrons. The Assistant Volunteer Coordinator will assist with all aspects of the program including recruiting, training, coordinating and supporting a diverse group of over 300 dedicated volunteers. They will help to provide individualized support for volunteers and facilitate initiatives that promote a respectful culture. The role works closely with the Volunteer Coordinator, who provides day-to-day guidance and manages the delivery of the volunteer program as established in collaboration with the Senior Operations Team. Responsibilities:

• Assist with recruitment and general orientation of all volunteers.
• Foster a welcoming and inclusive volunteer program, and support Bard’s efforts to remove barriers preventing participation.
• Assist in the planning and execution of the volunteer training program focusing on patron experience, accessibility, and the safety and wellbeing of volunteers.
• Schedule volunteers for each performance, event, or departmental need.
• Assign volunteers to various work areas based on volunteer strengths, abilities and responsibilities required with guidance from the team.
• Support the Volunteer Coordinator to provide continual contact and individualized support of volunteers where appropriate.
• Work with the Volunteer Coordinator to implement the volunteer recognition program.
• Maintain accurate volunteer records including availability, hours worked, experience and training using Better Impact volunteer database and Spektrix ticketing database systems.
• Direct supervision of some volunteer positions.
• Facilitate the evaluation of the volunteer program through in-person focus groups, surveys, and day-to-day feedback from volunteers.
• Supports the Senior Operations team to maintain patron-facing areas and coordinating the setup and strike of our event spaces

Qualifications:

• Demonstrated experience supervising or working with volunteers; equivalent experience, including volunteer roles, will be considered.
• An interest in the theatre and the arts, and a desire to learn more about working in arts administration.
• Strong interpersonal skills with a focus on building an inclusive and respectful workplace
• The ability to adjust their methods of training and communication and create an individualized approach to every volunteer
• Experience in working with the public and creating a welcoming, inclusive space
• Experience working or volunteering in live events is an asset
• The ability to stay organized and accurate in a time-sensitive and fast-moving environment while also being flexible to respond to requests and new tasks.
• Proficiency with Microsoft Office suite; familiarity with Microsoft Teams is an asset.
• The ability to learn new software systems (i.e. Bard uses the volunteer software Better Impact)

HOURS

April through mid-May: 30 hours per week from our administrative offices at the BMO Theatre Centre.

Mid-May through September: 37.5 hours per week, working from our temporary venue in Sen̓ákw/Vanier Park

October: 15 hours per week until mid-October

This is an in-person position. Evening and weekend availability is required. There will be some scheduling flexibility in April, May and October.
