Job Description:

The Office Shift Manager oversees administrative operations and ensures the on-site Bass Coast Office runs efficiently. Responsibilities include maintaining accurate records for keys, radios, vehicles, and machinery sign-out; tracking petty cash, credit cards, and purchase orders; printing signs and forms as needed; and responding to inquiries from suppliers, managers, staff, and artists. The shift manager will also manage the office volunteers. This is a busy, fast-paced role requiring calm multitasking and strong prioritisation. Two positions are available with different term lengths. Candidates must be available on-site from June 28–July 17.

Responsibilities:

Set up the printing station and stocking supplies. Set up the printing station and stocking supplies. Assignment and tracking of keys for all buildings on site. Assignment of keys for golf carts, trailers, trucks, cars and machinery. Assist with any printing requests for all departments. Control the use of Credit Cards and record usage. Issue Petty Cash and record all receipts. Issue and control of radios and charging stations. Knowledge of all managers and staff and communication channels. Festival site knowledge and map location familiarity. Greet and assist guests, staff, volunteers, VIPs, security and suppliers. Participate in meetings when needed.

Qualifications:

A post-secondary degree/certification in office administration or a minimum of three years of experience in office administration or relevant experience. Experience in the event industry is an asset but not required. A solid understanding of office administration procedures including data entry, communication protocol, de-escalation skills, and outstanding customer service. Strong multi-tasking skills. Practical experience with spreadsheets (Google Sheets). Excellent written and verbal communication skills. High level of critical thinking and strong problem-solving skills. Willingness and curiosity to learn. Enjoys organising, establishing and managing priorities with a sense of urgency. Self-motivated and willing to work alone or collaboratively with fellow colleagues. Capable of working in a constantly evolving environment. Passion for the high-pressure and fast-paced environment of festival production. Experience working or attending festivals and/or events is an asset. Must be legally eligible to work unrestricted in Canada.
