The West Vancouver Community Arts Council (WVCAC), established in 1968, is a not-for-profit organization with a mission to increase and broaden the opportunities for West Vancouver and all North Shore citizens to enjoy and participate in cultural activities.
WVCAC operates the Silk Purse Arts Centre, a waterfront art gallery and performance venue open to the public free of charge, Wednesday through Sunday, and provides arts and culture engagement opportunities in the community.
With more than 600 active members and a strong, loyal pool of volunteers, WVCAC is a vibrant, well-loved cultural hub.

Job Description:
This position is ideal for someone who loves engaging with people, believes in lifelong growth and feels called to support others through meaningful connection.
The West Vancouver Community Arts Council’s lifeblood is its volunteers. The mission statement of the WVCAC is to serve the community, and providing the opportunity to volunteer is one of the primary ways in which it achieves this goal. In return, volunteers provide a crucial service to the WVCAC. The volunteers are extremely involved: they process all sales and act as ambassadors for the organization in both in-person interactions and as the first line of contact over the phone.
The Volunteer and Events Coordinator will oversee all aspects of the volunteer program, from recruitment to training and scheduling.
They will also assist with the delivery of arts events including attendee registration, set up and revenue reporting. The position involves customer relations such as processing sales, answering the phone and welcoming visitors/event attendees.
REQUIREMENTS:

• Organized, self-motivated, and able to work autonomously;
• Experienced in volunteer recruitment, coordination, mentoring and coaching;
• Comfortable guiding and supporting others toward positive outcomes;
• A vital link between the WVCAC and its community, handling everything from interviewing and scheduling to recognizing volunteers and ensuring smooth daily operations;
• Experienced event organizer or a front-of-the-house host.
Responsibilities:
Volunteer coordination:
• Recruitment & Screening: Develop outreach strategies, create volunteer marketing materials, and conduct interviews and background checks.
• Onboarding & Training: Implement orientation programs and ensure volunteers understand their duties, safety guidelines, and the organization's mission.
• Placement & Scheduling: Assign volunteers to shifts and roles that match their availability and skillset, maintaining an organized database of records.
• Retention & Recognition: Plan appreciation events, send regular newsletters, and ensure volunteers feel valued and engaged.
• Compliance & Support: Monitor volunteer performance, address concerns, and ensure all activities adhere to health, safety, and legal regulations.
• Updating Volunteer desk manual
Events Support:
• Assist in executing performances, live events, and presentations with set-up, online and in-person ticket sales, front of house and revenue reports
• Use CRM to process and generate reports for WVCAC memberships
• Have or Acquire Serving It Right certification
• Respond quickly to evolving event needs with resourceful, on-the-spot problem-solving
Qualifications:
• Interpersonal Skills: Exceptional communication, conflict resolution, and the ability to motivate and lead diverse groups of people. Empathy with volunteers and an understanding of their needs and motivations.
• Organization: Strong organizational and time management skills, with the ability to plan, prioritize, and manage multiple tasks with a meticulous eye for detail.
• 3+ years of proven experience in managing or coordinating projects and volunteers. A proactive approach with the ability to use their initiative.
• Tech-Savvy: Proficiency with office software (MS Office, Google Docs) and event management/registration software.
• Flexibility: Ability to work a flexible schedule, including occasional evenings, weekends, and holidays as required by event schedule.
