Job Description:
This role is ideal for someone who thrives on bringing order to complexity. You enjoy creating systems, streamlining workflows, and developing clear processes that help people work more efficiently. Whether it’s designing a better registration form, building a spreadsheet that keeps everyone on track, or creating procedures that improve consistency, you take pride in making organizations stronger through thoughtful planning and exceptional organization. Reporting to the Executive Director, the Education & Engagement Coordinator is responsible for developing, coordinating, and supporting arts education and community programs while overseeing the administrative coordination of instructors and facilitators. The role also recruits, schedules, trains, and supports the Gallery’s valued volunteer team, helping to create exceptional experiences for participants, volunteers, Members, artists, and visitors alike.
Responsibilities:
Education Programming
Collaborate with dedicated volunteer committee members to develop and deliver exceptional programs and initiatives.
Facilitate all-ages educational programming including seasonal camps, workshops, classes, artist talks and tours.
Collaborate with Board and committee members, artists, instructors, educators, and community partners.
Manage program registration, materials and supplies, and participant communications.
Create participant feedback opportunities, and recommend improvements.
Assist with grant reporting, attendance tracking, and program statistics.
Volunteer Coordination Recruit, onboard and train PAG volunteers.
Provide ongoing communication, coaching, and support to volunteers.
Prepare digital volunteer schedules and maintain accurate digital volunteer records.
Foster a welcoming, inclusive, and supportive volunteer culture.
Coordinate volunteer appreciation and recognition initiatives.
Match volunteer interests and skills with Gallery needs across all areas of programming and leadership.
Administrative Responsibilities
Maintain shared Google program calendars and online volunteer databases.
Track registrations, attendance, and volunteer hours online.
Assist with promoting programs and volunteer opportunities through print and digital communications, social media, and public speaking opportunities.
Support exhibition openings, fundraising and community events.
Work collaboratively with Gallery staff to ensure an exceptional visitor experience.
Qualifications:
The successful candidate will possess:
Experience coordinating educational, community, recreation, or arts programming.
Experience recruiting, training and directing volunteers.
Outstanding interpersonal and customer service skills.
Excellent computer skills, including Google Workspace, Microsoft Office, shared cloud-based systems. The ability to learn new software and technology quickly.
Excellent written and verbal communication abilities.
Exceptional organizational and time management skills.
The ability to manage multiple priorities while maintaining close attention to detail.
Confidence working independently while contributing positively to a collaborative team.
A genuine enthusiasm for arts, culture, education, and community engagement.
Preferred Experience
Experience in one or more of the following is considered an asset: Education, public art galleries/museums, or cultural organizations Summer camps or youth programming
