Job Description:

We are seeking an enthusiastic and detail-oriented Event Coordinator to join our Team on a temporary basis to cover a maternity leave. The contract position is ideal for someone who thrives in a dynamic, creative environment and is passionate about delivering engaging arts and culture events. The candidate must be able to commit to part-time hours, Tuesday, Friday, Saturday (some variance in schedule, but not total hours, may be negotiated).

Responsibilities:

• The Events Coordinator role will report to the Executive Director and Office Manager in their day-to-day duties.
• Liaise with artists, vendors, partners, volunteers and venue staff to ensure smooth logistics.
• Manage event timelines, budgets, and administrative requirements.
• Coordinate event permits, insurance, and health/safety needs.
• Supervise event setup, on-site staff/volunteers and event takedown.
• Develop and distribute marketing materials to maximize event attendance and community engagement.
• Coordinating volunteers for events; including assessment, recruitment, and placement
• Identify and follow up with potential sponsors and partners, and actively seek funding opportunities to support events and programs.
• Prepare post-event evaluations and reporting.
• Attending and overseeing community events on behalf of the Langley Arts Council.

• Able to work independently and collaboratively as a team.
• Excellent organizational, communications and problem-solving skills.
• Flexibility to work evenings and weekends as needed.
• Proficiency with Google workspace, basic design tools and social media platforms.
• Must be a team player. The Arts Council is a collaborative environment, and we are looking to find an addition to our hard-working team.
