Founded in 1931, the Vancouver Art Gallery is recognized as one of North America’s most innovative visual arts institutions. The Gallery’s celebrated exhibitions, extensive public programs and emphasis on advancing scholarship all focus on historical and contemporary art from British Columbia and around the world. Special attention is given to the accomplishments of Indigenous artists, as well as to those of the Asia Pacific region—through the Centre for Global Asias (formerly the Institute of Asian Art) founded in 2014. The Gallery’s exhibitions also explore the impact of images in the larger sphere of visual culture, design and architecture.

The Gallery’s new Art of Wellbeing lab furthers its commitment to community by promoting the role of art in fostering health and wellbeing. Developed in collaboration with healthcare professionals, researchers and Indigenous Elders, the lab creates opportunities for individuals to engage with art in ways that support mental, emotional and physical wellbeing.

Job Description:

The Vancouver Art Gallery believes creativity is fundamental to an open and engaged world. Bring your experience in Events to one of Canada’s leading arts institutions in the heart of downtown Vancouver.

Reporting to the Manager of Special Events and working closely with the Gallery Rental and Event Associate, this role serves as the main point of contact during Gallery events. It plays an important part in ensuring events run smoothly, whether they are internal functions, public programs, or private rentals. The role involves welcoming clients and vendors, overseeing event activity, and ensuring that all event guidelines are followed.

Responsibilities:

• Review event plans to ensure client expectations and event requirements are met
• Oversee event setup; coordinate with clients, vendors and Event Associates to ensure compliance with safety and security protocols
• Attend security briefings; communicate event details and respond to operational concerns
• Ensure signage, stanchions and restricted area markers are in place and visible
• Act as primary point of contact during events, checking in with clients and guests throughout
• Monitor guest activity, ensuring security presence and compliance with Gallery policies (e.g., restricted access, no open flames)
• Support clients with event logistics including sound, lighting, furniture, catering and signage adjustments
• Represent the Gallery with professionalism and a strong focus on customer service
• Coordinate post-event clean-up; confirm end-of-event procedures and timelines with clients and vendors
• Submit post-event reports to the Events team and Manager
• Collaborate with internal departments (e.g., Building Services, AV, Education, Coat Check) to support successful event execution
• Promote a respectful and inclusive workplace grounded in equity, diversity and inclusion, including Indigenous ways of being
• Supports the Gallery’s overall goals towards a cohesive brand voice and identity.

This role contributes to the overall success of the Events team and ensures contribution to the Gallery’s strategic goals.

Qualifications:

As Event Liaison, you have completed Grade 12 or equivalent. You also bring a minimum of 2 years’ experience in customer service, restaurant serving, hospitality, event planning, film, entertainment or a related field.

In addition, you have:
• Strong problem-solving, organizational and time management skills
• Ability to work independently, multitask and maintain professionalism under pressure
• Excellent communication abilities, both written and verbal
• Comfortable standing for extended periods
• Proficient in basic administrative tasks; experience with MS Office Suite
• Skilled in building positive relationships with clients, vendors and colleagues
• Interest in visual arts and community engagement
• Familiarity with the Vancouver Art Gallery’s exhibitions and programs an asset

Remuneration:

Salary: Pay Grade 11. Step 2: $21.56 per hour.
