Job Description:

Reporting to the Executive Director, the Equipment & Programming Coordinator will be the first point of contact for members and the public engaging with CineVic. This position liaises with equipment renters and coordinates rentals including the reservation process, invoicing, payments, tutorials, pickups/returns, inspection and maintenance of equipment items. This position also assists with the preparation and delivery of programming, events, resources, and communications.

Responsibilities:

• Receive and respond to inquiries regarding CineVic programs, equipment, and membership.
• Use client management systems to reserve equipment for renters, create and send invoices, process membership and insurance applications, and keep accurate records of bookings, contracts, communications, and payments.
• Ensure that all equipment and facilities are kept clean, organized, and in good working order, and that damaged equipment is tracked, reported, and repaired.
• Prepare rental items for pickup and receive equipment items for return, including pre- and post-rental inspections with the renter.
• Communicate and enforce CineVic policies and procedures regarding equipment rental and usage, and provide renters with detailed knowledge of equipment including tutorials on proper setup, handling, and operation of items.
• Research, recommend, and source new equipment items for acquisition.
• Coordinate CineVic events and programs in conjunction with other staff, volunteers, and collaborators.
• Create, collect, and manage content for e-newsletter, social media, website, press releases, posters, and other promotional materials.
• Maintain database of members, productions, CineCredits, contact lists, film/book library, and general physical and digital archives.
• Opening, closing, and keyholding of CineVic facilities.
• Other such duties as may be required from time to time.

Qualifications:

• Post-secondary or equivalent technical training in areas of film and video production, equipment, or digital/media arts, plus a minimum two years of related work experience.
• Familiarity with CineVic programs, resources, members, bylaws, and equipment inventory including analogue and digital items.
• Front-line customer service experience, with excellent communication and organizational skills including setting priorities, meeting deadlines, and attention to detail.
• High level of computer literacy and proficiency in a Mac environment with experience using Google suite, Canva, Mailchimp, WordPress, Quickbooks, video editing software and DCP files, and other online platforms, databases, and payment systems.
• Ability to lift and carry heavy items while navigating obstacles and maintaining a safe work environment.
• Experience in coordination of events, programs, volunteers, marketing, and outreach.
• Confidence and skill in troubleshooting both equipment and administrative issues, with the capacity to work independently in completion of tasks and finding solutions to problems.
• Experience working with individuals from a diversity of backgrounds, including those facing social exclusion or barriers, people with disabilities, and from marginalized or equity-seeking communities.
• Ability to work under pressure at times, both independently and as a team, while maintaining a healthy work-life balance.
• Positive attitude with a drive to continually build knowledge, skills, and expertise.
• Knowledge of contemporary and local film and media arts landscape; experience working in the non-profit, film, or media arts sectors is an asset.

How to Apply:

Hours: 20 hours per week with potential for additional hours in 2026 depending on demand, operational capacity, and funding. Generally between Monday to Friday, with occasional evening and weekend events.

Vacation Time: Two weeks paid time off per year, plus two weeks paid office closure for winter holidays.

Tentative Start Date: July 22, 2025.

Term: Contract, subject to annual renewal (first term to August 31, 2026).

Location: CineVic headquarters in downtown Victoria BC, with potential for some remote work.

Remuneration:

Wage: $19.50 per hour, rising to $20.00 per hour after six-month probationary period, with potential for future wage increases based on performance and available funds.
