The Program Delivery Specialist (PDS) supports the strategic and execution objectives of program design and program delivery by interpreting and operationalizing program delivery requirements for all Banff Centre programming assignments and portfolios in the Arts disciplines.

Working closely with Program Managers and Directors, the PDS provides the logistical, administrative, and operational support required for the delivery cycle of all Banff Centre programs. The PDS interprets program needs—technical, creative, classroom design, and informational design—and works closely with internal and external teams to secure and schedule required resources.

The PDS works with all departments, clients, teams, and faculty in facilitating and organizing program delivery requirements, and in ensuring accuracy and excellence in all learning materials, platforms, and resources, both print and digital.

RESPONSIBILITIES:

  • In collaboration with Program Managers and Directors, Production and Presenting, provides logistical and administrative support in the planning and organization of program-related events, such as faculty and participant presentations, readings, open studios, performances, happenings, concerts, and theatre productions.

  • Works with all departments to assess arts program and special project needs; provides program delivery assessments, adjudication support, and plans and executes day-to-day program delivery requirements.

  • In collaboration with IT, oversees the setup and operation of technology, software, and digital platforms used for program delivery, ensuring alignment with programming intentions and Banff Centre policies and protocols.

  • Provides leadership to the coordinator team in realizing program delivery needs, including digital and print materials, digital platforms, and creative, cultural, or ceremonial sessions.

  • Works closely with Program Managers and Directors to curate the faculty and participant experience in digital and on-campus workshops and learning spaces; plans, executes, and troubleshoots all setup requirements to maintain a high-quality experience.

  • Gathers and communicates all details, including logistical and artist care requirements, via Group Resume Forms (GRFs) and Banquet Event Orders (BEOs) with all Banff Centre departments; verifies bedroom and venue bookings and provides solutions where possible.

  • Communicates and maintains program schedules created by faculty and Program Managers and Directors throughout programs.

  • Completes administrative tasks related to program delivery, including sourcing, procurement, purchasing, payments, and financial reconciliation; prepares and processes purchase orders, payment requests, cheque requisitions, petty cash vouchers, reimbursements, expense claims, and A/R adjustments.

  • Acts as a key liaison with program participants, faculty, and special guests, and facilitates communication with other Banff Centre departments.

  • Provides exceptional customer service and demonstrates strong problem-solving skills when working with internal and external clients, artists and participants, staff, special guests, and contractors.

QUALIFICATIONS:

  • Five or more years of experience in project or event production environments, or related experience, preferably in a post-secondary or client service environment.

  • Completion of a university degree in a related discipline such as Humanities or Arts Administration, or equivalent transferable experience.

  • Advanced InDesign and informational design skills.

  • Essential project and production scheduling skills.

  • Demonstrated ability to work independently and collaboratively, lead by example, and solve problems creatively.

  • Experience working with a broad range of artists, participants, and faculty.

  • Ability to work effectively under pressure with adaptability to shifting priorities.

  • Proven project management skills with the ability to manage multiple projects simultaneously.

  • Exceptional organizational and time management skills.

  • High level of reliability and self-motivation.

  • Proficiency with Microsoft Office Suite, including advanced Excel skills.

  • Experience working in electronic and online environments with multiple databases.

  • Familiarity and competence with custom software programs and web-based communication tools.

  • Comfort with new technologies, software applications, and digital platforms.
