Job Description:

We know of most Grant avenue, so we are seeking a highly organized and detail-oriented Grant Administrator to lead and streamline our grant development infrastructure. This role is responsible for researching, tracking, and coordinating grant opportunities across all organizational streams, and for building a centralized grants system that supports sustainable funding growth.

The ideal candidate combines administrative precision with strategic awareness of the arts funding landscape.

Key Responsibilities

1. Grant Research & Prospecting (we know of most of them already)

Identify and evaluate grant opportunities from government, foundations, and private funders
Align opportunities with Youtheatre’s three core streams:
Live Creative Productions
Community Events
Apprenticeship Training Programs
Maintain up-to-date knowledge of funding priorities in arts, youth engagement, and community development sectors

2. Master Grant Calendar Development (we have one now, it needs tweaking)

Design and maintain a comprehensive master grant calendar
Track deadlines, eligibility requirements, reporting timelines, and application cycles
Ensure internal teams are aware of upcoming opportunities and deadlines well in advance

3. Grant Coordination & Administration

Support the preparation and submission of grant applications (drafting, editing, compiling materials)
Coordinate with artistic, production, and leadership teams to gather required information
Maintain organized records of submissions, outcomes, and reporting obligations

4. Reporting & Compliance

Track reporting deadlines and ensure timely submission of grant reports
Maintain accurate documentation of funded projects and outcomes
Assist in developing impact summaries and data collection processes

5. System Development & Optimization

Establish efficient workflows and tools for grant tracking (e.g., spreadsheets, CRM systems)
Create templates and internal resources to streamline future applications
Contribute to long-term funding strategy by identifying patterns and opportunities

Qualifications:

If you have experience in grant administration, fundraising, or nonprofit development, with a strong organizational and project management skill set - we are looking for you.

  • Excellent command of the English language, both speaking, writing, editing, and communication abilities are imperative.

  • Ability to manage multiple deadlines with high attention to detail.
    It is expected to have Proficiency in Google Workspace, and Excel.

  • Strategic thinking and initiative is what we are looking for.

  • High level of accuracy and accountability.

  • Ability to synthesize complex guidelines into actionable steps.

  • Collaborative mindset with the ability to work across departments.

Remuneration:
