Job Description:
The temporary, full-time Events Coordinator is responsible for leading the planning and execution of a variety of city-led special events; creating, scheduling and maintaining content for the city website and digital signage; processing applications and coordination for various programs and permits; and, being an awesome and engaged member of a dynamic Cultural Services Team, providing support as needed on a variety of projects and tasks. This temporary, full-time position is currently estimated to be of 12-18 months duration.
Responsibilities:
• Lead the planning and coordination for a variety of city-led special events ranging from small ribbon cutting events to large festivals
• Schedule and coordinate the activities of city staff, volunteers, and contactors for special events
• Manage budgets related to the planning and execution of special events
• Coordinate a city presence at select community-led special events
• Coordinate marketing plans with Communications and Engagement staff
• Identify needs, create, schedule and update content for the Newport Digital Sign, Galleria digital signs, City website, City Facebook page and Cultural Services’ social media channels
• Process applications and permits for various Cultural Services’ programs (busking, event signage, etc)
• Coordinate the Art at Council program
• Support the Cultural Services Manager and division with minor administrative tasks (preparing payment requisitions, ordering office supplies, filing, etc)
• Act as a resource for the community regarding Cultural Services
• Be an all-around team player supporting Cultural Services and the City as required on a variety of special projects and initiatives
Qualifications:
• A diploma (2 years of education) in event planning, hospitality, project management, or related field
• Two or more years of job-related experience in special event coordination and:
Project management
Building relationships with vendors and suppliers
Preparing and managing special event budgets
An eye for ensuring safety at events (Risk management)
Excellent communication skills
Marketing and promotions relating to special events
Creating and updating content for print and the web o Problem solving and logistics skills
Proficient with Microsoft Word and Excel
Valid Class 5 Driver's License
