Job Description:
GENERAL ACCOUNTABILITY
Reporting to the Director of Programs and Events (DPE), the Events and Volunteer Coordinator works closely with the DPE and other program staff to oversee all aspects of the volunteer program and the coordination and delivery of on- and off-site programs and events. This position works weekend shifts on a regular basis.
Responsibilities:
SPECIFIC ACCOUNTABILITIES
• Coordinate the planning, administration and implementation of on- and off-site events and activities, including but not limited to:
o Scheduling and booking rooms and venues.
o Arranging special occasion licenses as needed.
o Purchasing food, beverages and supplies.
o Recruiting and liaising with arts facilitators.
o Administering event budgets.
o Creating activity descriptions.
o Sourcing and purchasing supplies.
o Devising room and/or site set-ups.
o Overseeing event set-up, clean-up and delivery of planned activities, including transportation of equipment and supplies for off-site events.
o Recruiting, training and supervising volunteers.
o Supporting arts facilitators and other staff at identified events.
o Assisting with social media content creation related to events.
o Managing bar service at identified PdA events.
• Coordinate all aspects of the volunteer program including recruitment, communication, training, scheduling, supervision and recognition.
• Coordinate the volunteer Youth Arts Council program including recruitment, facilitation of monthly meetings, and support for council-led events and activities.
• Assist with planning and implementation of the Artist in Residence program.
• Provide general assistance for programs and events such as dance and theatre productions, art camps, exhibition openings and music concerts.
• Perform other tasks as assigned by the DPE
Qualifications:
QUALIFICATIONS, SKILLS & EXPERIENCE
• Minimum 2 years of experience in event and/or volunteer coordination.
• Background in dance, theatre, or other related arts disciplines.
• Excellent verbal and written communication skills.
• Proven ability to manage multiple priorities and deadlines.
• Experience working with children and youth.
• Excellent interpersonal and organizational skills.
• Proficiency in Microsoft Office applications.
• First Aid certification is an asset.
• Serving It Right certification is an asset.
REQUIREMENTS
• Police Information Check with a vulnerable sector check.
• Valid Driver’s License and access to a vehicle.
• Availability to work evenings and weekends as required.
• Ability to lift 30 lbs.

Remuneration:
This is a full-time position (37.5 hours/week) with an annual salary of $52,000. Benefits include extended health, Municipal Pension Plan, three weeks vacation (plus an additional 4 days off per year during winter break and on Easter Monday) and twelve paid sick days per year.
