Ballet Vancouver is a non-profit charitable dance company founded in 2025 and based in Vancouver. Under the artistic leadership of Joshua Beamish, the company is committed to artistic excellence, community engagement, and the advancement and access to professional classical, neoclassical, and narrative ballet. Ballet Vancouver will present multiple home performances annually, in addition to national and international touring. The company supports a diverse portfolio of performances, education initiatives, community programs, and special events.

Artistic Director Joshua Beamish is a leading Canadian and international voice in ballet. He collaborated with New York City Ballet Associate Artistic Director Wendy Whelan for Restless Creature and created the debut commissions of ABT Principal Herman Cornejo’s Dance Live and New York City Ballet Principal Ashley Bouder’s The Ashley Bouder Project. His recent presentations include Lincoln Center, BAM Next Wave, The Joyce Theater, The Guggenheim Museum, and the Royal Opera House/London.

JOB DESCRIPTION:
Ballet Vancouver is seeking a part-time Office Administrator (contractor) to oversee the day-to-day administrative functions of the company, ensuring smooth internal operations and consistent communication among staff, artists, supporters, and community partners.

From fostering a positive office culture to coordinating essential administrative duties in support of the leadership team’s workflow, the contractor will play a pivotal role in shaping the company’s success. The ideal candidate is a self-directed, highly efficient, adaptable, and detail-oriented individual capable of managing multiple priorities in a dynamic, artistic, start-up environment.

Hours: 10 hours per week (Monday–Friday), with some evening and weekend work required.
Location: Remote until August 2026, then on-site office hours in downtown Vancouver.

RESPONSIBILITIES:

  • Manage organizational calendars, appointments, and rehearsal schedules.

  • Oversee email correspondence and respond to general inquiries.

  • Maintain digital filing systems, contracts, and administrative records.

  • Prepare reports, documentation, and internal communications.

  • Coordinate meetings, including agenda preparation and follow-up materials.

  • Serve as a point of contact for dancers, instructors, and performance staff.

  • Support artists with scheduling, documentation, and onboarding requirements.

  • Liaise with clients, patrons, and partners regarding program details and logistics.

  • Assist with the preparation of event materials, schedules, and performer packets.

  • Coordinate logistical needs between administrative and artistic teams.

  • Ensure timely circulation of production notes, call times, and updates.

  • Assist with invoicing and expense tracking.

  • Maintain accurate and organized contract files.

  • Support budget organization and financial reporting, as needed.

QUALIFICATIONS:

  • 2–3 years of administrative, office management, or operations experience.

  • Prior experience in the arts, non-profit, or dance industry is an asset.

  • Excellent written and verbal communication skills.

  • Strong organizational abilities with meticulous attention to detail.

  • Comfort working in a fast-paced, start-up environment with shifting priorities.

  • Proficiency with Google Workspace and standard office software.

REMUNERATION:
