Job Description:
We seek an organized, detail-oriented team supporter to assist our team with administration. Your role is exceptionally important to the organization
– you keep everything running smoothly. You are a key contact person for clients, answering their questions about bookings, payments and logistics. You support the teaching team by managing administrative details, planning special events, and being available for last minute communications if a teacher is suddenly unable to teach. You are positive, solution oriented, with excellent interpersonal skills. You suggest ideas and enjoy working both independently and as part of a team. You are a systems thinker
– you look for ways to streamline your work and the processes of the business. You are creative, curious, and goal oriented. Your work may be done from home or our West Vancouver office. You will be in regular communication with other team members over the phone and email, and sometimes meet in person.
Additional details: Hours: 1-2h each workday, Monday-Friday, to answer emails/calls in a timely manner. Be available for weekly team meetings, and for emergencies that may happen around the start of the teaching day, in case a teacher is unable to teach, or some other similar last-minute issue.
Location: Your home and the West Vancouver Studio when needed. The job includes a weekly clean of the studio. Training: Initial and ongoing training provided as needed.
Equipment: your own laptop, cell phone and strong internet connection is required.
Responsibilities:
- Registering new & returning clients in our system
- Scheduling
- Invoicing
- Managing phones and emails
- Communicating with all staff
- Purchasing supplies
- Keeping the studio organized and running smoothly
- Event administration (booking venues, communicating with attendees, managing registration)
- Assist clients with registering for exams (RCM, Trinity) and performance events
- Assist instructors with administrative tasks
- Update admin handbook as required
- Attending weekly staff meetings (1h)
- Cleaning the studio once a week
Qualifications:
Excellent interpersonal, communication, and problem solving skills Clear and concise writing and speaking style Superior Computer Skills, including good typing skills and experience in MS Word, Excel, and Gmail Fluent in English, and if you speak Mandarin and/or Cantonese that is also beneficial Detail oriented Proactive Responsible Initiative taker Problem Solver Fast Learner
