Job Description: Role Overview
Reporting to the Director of Production, the Production Assistant provides hands-on administrative and logistical support to VYC’s production function across concerts, events, tours, retreats, fundraising events, outreach programs, and other activities.
The Production Assistant works under the direction of the Director of Production while exercising appropriate initiative and independent judgment in completing assigned responsibilities. The role is responsible for executing assigned production tasks accurately, proactively, and on time, while keeping the Director of Production informed of progress, outstanding items, questions, and emerging issues.
Additionally, this role will also provide on-site venue support to the Director of Operations when and where required.

Responsibilities:

Key Responsibilities

1 ) Production Assistance

  • Production & Event Support

  • Support the planning and delivery of VYC concerts, retreats, tours, donor and fundraising events, outreach programs, and other activities within the scope of the

  • Production Assistant role.

  • Assist with event logistics including schedules, supplies, signage, catering, transportation, venue requirements, equipment, and event materials.

  • Prepare, organize, print, pack, and distribute pre-event materials, including run sheets, schedules, participant information, signage, lists, packages, volunteer materials, and other event documentation.

  • Prepare and organize event supplies and production materials, including maintaining inventory, identifying items requiring replenishment, and coordinating pickups, deliveries, and movement of materials.

  • Help ensure event information, supplies, and materials are accurate, complete, organized, and ready for staff, volunteers, and event teams in advance.

  • Support event set-up, on-site execution, front-of-house or backstage needs, and event wrap-up as required.

  • Assist with coordination and follow-up with venues, vendors, staff, volunteers, participants, and event partners.

Production Administration & Box Office Support

  • Maintain and update production documents, calendars, checklists, participant lists, schedules, contact information, and event records.

  • Complete assigned logistical tasks related to venue bookings, quote gathering, rentals, transportation, accommodation, catering, and other event requirements.

  • Track assigned production tasks and deadlines, follow up on outstanding information or deliverables, and communicate progress or emerging issues.

  • Provide box office and ticketing support, including guest lists, complimentary tickets, ticket inquiries, event-day box office preparation, and other assigned ticketing tasks.

  • Assist with participant, volunteer, vendor, and guest communications related to event logistics.

  • Maintain organized, accurate, and up-to-date production files and records.

Seasonal & Project Support

  • Provide administrative and logistical support to the production function in response to changing production priorities throughout the season.

  • Take responsibility for assigned tasks and small projects through to completion, including managing agreed timelines, following up on outstanding items, and communicating progress, questions, or emerging issues.

  • Support fundraising events, tours, retreats, outreach programs, and other seasonal projects that fall within the scope of the Production Assistant role.

  • Priorities and workload will vary throughout the season depending on VYC’s event calendar, organizational priorities, and production needs.

2) Venue Coordination

The Venue Coordinator supports the smooth operation of Vancouver Youth Choir’s weekly rehearsals by overseeing venue logistics, assisting with setup and teardown, and serving as an on-site resource for staff, singers, and families. This role ensures that rehearsals run efficiently, the venue is safe and organized, and that communication between teams remains clear and responsive.

Key Responsibilities

  • Be at various sites in Vancouver for rehearsals on Mondays, Tuesdays, and Wednesdays.

  • Open and close the venue, ensuring all spaces are secure and ready for use.

  • Oversee rehearsal setup and teardown, ensuring all required materials, instruments, and equipment are in place.

  • Serve as an on-site resource for parent managers, conductors, singers, and families, providing information and assistance as needed.

  • Track attendance and participation of volunteers as required.

  • Maintain a welcoming and professional rehearsal environment.

  • Complete other duties as assigned from time to time to support rehearsal operations and organizational needs.

  • Provide first aid support as required (training provided.)

  • Sorting music in the Music Library, and printing music and other documents as required.

  • Flag any issues, concerns, or updates to the Operations Team in a timely and detailed manner.

Breakdown of allocation of time
1) Flex-time for Production support:
10.5 hours per week as required

2) On site Venue support:
Rehearsal Schedule: 9.5 hours per week
Mondays 6:00-9:00pm at Ebenezer Baptist Church,
Tuesdays 3:45-6:15pm at Sir Alexander Mackenzie Elementary School,
Wednesdays 3:30-7:30pm or 4-8pm at St Mary’s Kerrisdale.

Qualifications:

Education and Experience:
3 - 5 years of relevant experience in administration, event planning, volunteer coordination or production (or an appropriate combination of education and experience)
Experience with non-profit/charitable organization is an asset
A valid driver’s license and access to a vehicle
