JOB DESCRIPTION:
The Administrative Coordinator supports the logistics and daily operations of Bard’s administrative offices at the BMO Theatre Centre. Key responsibilities include front desk reception, coordinating building maintenance, supporting IT needs, and managing general office tasks. The role provides administrative assistance across departments and helps maintain smooth office operations when the Operations Team moves to the Festival site in Sen̓ákw/Vanier Park from May to September. This position is well suited to those beginning a career in arts administration. You will work as a member of the Operations Team within the Operations, Administration and Finance Department, joining a collaborative staff committed to practicing Bard’s Company Commitments.

RESPONSIBILITIES:

  • Handle daily reception duties, including monitoring the main phone line and email inbox, greeting and directing visitors, managing mail, and responding to administrative inquiries.

  • Manage office supplies, resources, and equipment, including ordering, tracking purchases, coordinating shared spaces, and maintaining supplier relationships.

  • Perform administrative tasks to support programs, events, and activities, including administrating Access Fund applications, processing voucher donation requests, and organizing large meetings.

  • Support the Operations team in managing building facilities, including access, repairs, and maintenance services.

  • Assist the Operations team with studio and costume shop rentals at the BMO Theatre Centre.

  • Work with the Operations and Finance teams to manage shared costs and relationships related to the BMO Theatre Centre.

  • Organize and coordinate IT infrastructure and systems with the Operations team.

  • Collaborate with Volunteer Coordinators at Bard and the Arts Club to manage the BMO Theatre Centre Concierge volunteer program.

QUALIFICATIONS:

  • Relevant experience providing administrative support in an office, school, or organizational setting, or a combination of training and experience.

  • Interest in theatre and the arts and a desire to learn more about arts administration.

  • Clear, professional communication skills with a friendly, approachable manner.

  • Strong teamwork skills and flexibility in adapting to different working styles.

  • Demonstrated problem-solving skills and a proactive approach.

  • Proficiency in Microsoft Office; familiarity with Microsoft Teams is an asset (a PC laptop will be provided).

  • Comfortable with technology and learning IT systems.

  • Able to work independently with limited supervision, especially when the Operations Team is based at the Festival site from May to September.
