Founded in 1931, the Vancouver Art Gallery is recognized as one of North America’s most innovative visual arts institutions. The Gallery’s celebrated exhibitions, extensive public programs and emphasis on advancing scholarship all focus on historical and contemporary art from British Columbia and around the world. Special attention is given to the accomplishments of Indigenous artists, as well as to those of the Asia Pacific region—through the Centre for Global Asias (formerly the Institute of Asian Art) founded in 2014. The Gallery’s exhibitions also explore the impact of images in the larger sphere of visual culture, design and architecture.

The Gallery’s new Art of Wellbeing lab furthers its commitment to community by promoting the role of art in fostering health and wellbeing. Developed in collaboration with healthcare professionals, researchers and Indigenous Elders, the lab creates opportunities for individuals to engage with art in ways that support mental, emotional and physical wellbeing.

Job Description:

The Vancouver Art Gallery believes creativity is fundamental to an open and engaged world. Bring your experience in Development to one of Canada’s leading arts institutions in the heart of downtown Vancouver.

Reporting to the Senior Director of Advancement, the successful candidate will be a proactive, data-driven individual responsible for managing the Vancouver Art Gallery’s fundraising database (Raiser’s Edge) and supporting key administrative functions within the Development team and other revenue-generating departments. The Development Officer ensures the integrity of donor data, processes tax receipts, produces regular reports on revenue generation, and supports budget tracking in coordination with the Finance department. You will also collaborate closely with colleagues across Development and other departments to maintain internal systems, provide timely reports, and ensure the smooth functioning of donor programs and fundraising operations.

Responsibilities:

• Lead the effective administration and governance of the Gallery’s fundraising database (Raiser’s Edge), ensuring data accuracy and integrity
• Develop and maintain standards for data optimization, regular integrity checks, and system backups
• Oversee tax receipting for all donation types, including cash, in-kind, securities, art, sponsorships, and events
• Process donations and coordinate donor communications in collaboration with the Stewardship Officer
• Work closely with Finance and external institutions to reconcile fundraising data and manage gifts of securities
• Generate timely and strategic fundraising and financial reports for internal teams, Board, and revenue-related meetings
• Analyze data and prepare lists to support mailouts, solicitations, invitations, and donor recognition; maintain mailing list schedules
• Track and coordinate interdepartmental list requests to support targeted outreach and avoid duplication
• Implement and maintain database standards and procedures with guidance from the Senior Director of Advancement
• Conduct regular data audits and recommend improvements to optimize system use and reporting capabilities
• Provide cross-departmental leadership on database usage, data entry consistency, and user support
• Liaise with IT and vendors for system updates, troubleshooting, and contract management
• Support annual audits and prepare financial reports related to fundraising activities
• Ensure systems are in place for proper gift coding, receipting, and stewardship
• Commitment to equity, diversity, inclusion, and Indigenous ways of being, embedding these values in daily work
• Supports the Gallery’s overall goals towards a cohesive brand voice and identity.

This role contributes to the overall success of the Development team and ensures contribution to the Gallery’s strategic goals.

Qualifications:

As Development Officer, Database and Administration, you hold a University degree in a related field. You also bring a minimum of 3-5 years’ experience in data administration within a non-profit fundraising environment.
In addition, you have:
• Hands-on experience managing fundraising databases (e.g., Raiser’s Edge, Tessitura), processing tax receipts, and generating reports and queries
• Strong understanding of fundraising operations, including direct mail and donor communications
• A proactive, solutions-focused mindset with a commitment to continuous improvement and best practices
• Proven ability to organize and support staff or volunteers, troubleshoot database issues, and implement effective solutions
• Excellent time management skills and the ability to adapt to shifting priorities in a fast-paced environment
• Strong interpersonal and communication skills, with the ability to build positive relationships across teams and with external partners
• Advanced proficiency with MS Office and fundraising software
• High level of discretion in handling confidential information
• Strong project management and written communication abilities

Remuneration:

Salary: Pay Grade 23. Step Range: $32.46 - $38.00 per hour.
