Job Description:

Goh Ballet is seeking an Administrative Coordinator for its location in Vancouver, BC (Full Time - Onsite).

Goh Ballet Canada provides high-quality ballet training for students aged 3 years and up. We are a company with a long legacy of classical ballet training in Canada, and strive for excellence in all that we do. We are looking for an organized, driven and energetic Administrative Coordinator to join our team.

POSITION OVERVIEW

We are currently seeking a full-time Administrative Coordinator to be the heart of our day-to-day operations. You’ll communicate with students, parents, faculty, and staff, manage schedules and keep meticulous records, and help keep the activities at Goh Ballet Vancouver running smoothly. This is a fast-paced role that requires excellent communication skills and the ability to stay organized, poised and composed under pressure. More than a generic office position, our Administrative Coordinator is the administrative ambassador of Goh Ballet to its community, communicating effectively to all internal and external stake holders.

Responsibilities:

DUTIES

• Front Office administration and reception (electronic, written and in-person and over-the-phone verbal communication)
• Researching and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating communications
• Provide administrative assistance to the Artistic Staff (ie. Appointments, schedules, meetings, travel arrangements)
• Prepare, document, tracking of invoices, payments, balances
• Support with Annual recruitment targets and retention
• Assist with all events, presentations and productions
• Contribute and support fundraising initiatives, non-profit work
• Supporting with any marketing initiatives, PR, communications through various channels
• Support other departments with liaising communications, and support in other administrative tasks as assigned (Artistic, operations, wardrobe etc)
• Provide ongoing support to various administrative responsibilities relating to productions, showcases, special events as required
• Supervise overall maintenance of building facilities, safety, upkeep and other assets
• Ensuring bookings and meetings are carried out with exceptional preparation, setup, and equipment required
• Other tasks as assigned

Qualifications:

CANDIDATE DESCRIPTION

The ideal candidate will possess strong technical proficiency with common office hardware, software and operation systems, as well as demonstrated strong interpersonal and relationship-building skills in a team setting. The successful candidate is a dynamic multitasker who thrives under pressure and prioritizing with urgency, all while maintaining a composed and professional demeanor.

The Administrative Coordinator is a resourceful self starter who enjoys working with different personalities and embraces the challenges of working in an bustling environment that generates big ideas from creative artists. The Administrative Coordinator understands Goh Ballet's mission and purpose and wants to play an active role in advancing administrative processes, overall operations and the important work of Goh Ballet Canada.

• Highly proficient in reception related tasks (ie. Email correspondences, answering phone queries accurately and in a timely manner, etc)
• Fluent in English. Excellent and effective verbal and written communication skills in English.
• Ability to work in a fast-paced environment and assist with organizing priorities, executing projects and meeting deadlines
• A resourceful problem solver and trouble shooter
• Proficiency in invoicing, payment processing, computer software (M365, Google Suite, Outlook) Must be proficient with Word and Excel.
• Ability to work under pressure and keep a calm and approachable demeanor at all times
• Is organized and meticulous with record keeping
• Previous experience in a ballet or dance school is an asset, but not required.
• Flexible, adaptable, robust, and resilient, willing to go above and beyond. You'll care about the little details that make the Academy run more smoothly or that make a difference to stakeholders
