Job Description:
Temporary Full-Time One Year Excluded Position (ASAP to July 31, 2026)
8:30am to 4:30pm / Monday to Friday

The Student Recruitment + Admissions Coordinator leads student recruitment initiatives by planning, conducting, and evaluating strategic outreach activities, including presentations, recruitment events, and ongoing follow-up with prospective students, schools, and community partners to attract qualified applicants to Emily Carr University (“ECU”). Additionally, the role provides critical support to undergraduate admissions processes by making eligibility decisions for escalated cases and proactively engaging with prospective students to improve applicant yield and enrolment. The incumbent also serves as a knowledgeable resource on admission policies, analyzes enrolment data and market trends, and collaborates with internal departments and external organizations to strengthen recruitment effectiveness.

This position works closely with key roles across the Admissions team to ensure a seamless continuum of support throughout the recruitment and admissions cycle. It takes on escalated tasks typically managed by the Admissions team and may be required to step in and support core admissions functions when critical decisions are involved.

Responsibilities:

1. Student recruitment outreach, planning, and follow-up:
a. Plans, conducts, and reports on student recruitment with assigned schools, colleges, universities, or regions (the employee’s “recruitment portfolio”) through in-person and online presentations, information booths, counsellor/administrator follow-up, post-secondary fairs, career fairs, and lead/applicant follow-up, for the purposes of attracting good-quality applicants to ECU. Collaborates with the Admissions team to coordinate information dissemination through recruitment events and initiatives aimed at attracting high-quality applicants to ECU.
b. Responds to general inquiries from prospective students, their guardians, school staff, or other community members by email, telephone, letter, chat, text message, and other means, directed to the centralized recruitment mailbox, in compliance with ECU policies and privacy regulations. Collaborates with the Admissions team and refers inquiries requiring specific knowledge of ECU admissions policies and procedures as appropriate.
c. Fosters relationships with administrative staff or leaders from assigned recruitment portfolio, including maintaining a database of contacts, for the purposes of improving access to prospective students and referrals to ECU.
d. In consultation with their supervisor and other key partners, and in collaboration with the Admissions team, plans and executes general recruitment activities such as on-campus events, online events, and National Portfolio Day, including coordination of potential planning committees, budgeting, logistics, promotion, registration, and reporting.
e. In collaboration with their supervisor, leads ECU’s campus visit program including delivery, development and reporting.
f. Leads, schedules, and supervises other ambassadors, staff and faculty recruiters, including setting goals and monitoring performance and outcomes. Selects and trains staff as required.
g. Supports ECU Continuing Studies to develop and execute recruitment activities with relevant high schools and ECU teen or summer programming, by engaging their participants in ECU awareness activities.
h. In consultation with their supervisor and other key partners, participates in the development and implementation of the department’s student recruitment plan or university’s strategic enrolment plan.
i. Analyzes enrolment data, compiles and reviews reports, analyzes market trends and evaluates and makes recommendations to their supervisor, colleagues, or other leaders.
j. Acts as an institutional resource on undergraduate admission through a significant knowledge of ECU admission policy and industry best practices, applying this knowledge and understanding in responding appropriately to inquiries.
k. Coordinates with Marketing + Communications and academic leadership to develop and execute a proactive communications plan, including effective use of social media to build awareness, generate leads, promote events, and ensure access to relevant information to prospective students.
l. Utilizes ECU student systems to obtain information on the status of a student's inquiry or application for advising purposes, including preparing targeted communications to proactively communicate with prospective students to build relationships and encourage interest.
m. Supports their supervisor with the development of new policies or strategies relating to recruitment by researching promising practices in the field, ensuring alignment with the University’s strategic objectives and priorities.
n. Recommends, develops, and maintains effective, collaborative relationships with other universities and provincial, federal, and international agencies and organizations.

2. Admissions adjudication and conversion:
a. Supports admissions by following up with escalated files in support of applicant yield and conversion or where additional recruitment efforts may be beneficial.
b. In consultation with supervisor, reviews application files to determine eligibility, in cases where Admissions Advisors would normally require supervisory input, providing an additional level of decision-making support within the team.
c. In consultation with supervisor, authorizes extensions to deadlines or substitutions for documents related to admission applications.
d. Exercises independent judgement and analysis to evaluate a prospect’s admissibility to specific programs based on their individual academic history, often without access to an escalation point or consultation with colleagues when travelling.

3. Additional duties and professional development:
a. Develops and maintains a network of contacts and resources in the university to keep up to date on changes relating to all academic programs to appropriately refer students to ECU services.
b. Participates on and reports to relevant ECU committees, professional associations and external networks (i.e. Association of Independent Colleges of Art and Design (AICAD), Post-Secondary Institutes of BC (PSBC), National Portfolio Day Association (NPDA), BC Art Teachers Association, etc.).
c. Fosters a culture of justice, equity, diversity, and inclusion (JEDI) by remaining current in JEDI trends that impact their field of work and makes recommendations to their supervisor for improvements in support of the ECU community and the strategic goals of the University.
d. Assists the Registrar’s Office leadership team with special projects and initiatives as well as with related functions contributing to the successful operation of Student Services.
e. Participates in relevant professional development seminars and workshops to support ongoing learning and growth.

Qualifications:

  • Bachelor’s degree (3+ years) in a related field. Master’s degree an asset.

  • Minimum five years of related experience in a higher education setting, ideally gained through entry-level roles in student recruitment, admissions, or marketing at a college or university

  • Or an equivalent combination of education and experience.

  • Valid driver’s license and access to a reliable motor vehicle for business travel.

  • Valid passport and ability to gain entry to countries internationally.

  • Excellent knowledge of Canadian and international education systems.

  • Proven experience in using office and enterprise-level systems (e.g. Microsoft 365, Colleague, Slate, or similar student information or customer relationship management systems).

  • Extensive knowledge of higher education policies and regulations related to student admission, academic programming, academic advising, and services.

  • Criminal Record and Vulnerable Sector check required upon employment.

  • Demonstrated ability to articulate, plan, and execute student recruitment and yield conversion strategies.

  • Demonstrated achievement in advancing institutional objectives within a strategic enrolment management framework.

  • Demonstrated leadership, advanced problem-solving, interpersonal, and communications skills.

  • Proven ability to deal effectively with a diverse population, including students, guardians, faculty, administrators, counselors, and support staff.

  • Demonstrated commitment to justice, equity, diversity, and inclusion.

  • Demonstrated commitment to Indigenization and reconciliation.

  • Excellent intercultural communication skills—verbal, written, and presenting.

  • Ability to critique artwork and a basic knowledge of art theory or art history are essential.

  • Willing to travel extensively internationally and domestically with minimal supervision for extended periods of time.

  • Ability to promote ECU effectively to students, guardians, and educational representatives and to establish positive working relationships internally and with a variety of external agencies’ representatives.

  • Proficiency in a second language is an asset.
