Arts On began as The Maple Ridge and Pitt Meadows Arts Council in 1971 and rebranded recently to Arts On Maple Ridge-Pitt Meadows (Arts On) and is one of the oldest Arts Councils in British Columbia.

Arts On is the creative heartbeat of Maple Ridge and Pitt Meadows, connecting people with art, creativity, and culture in ways that spark conversation and shared experiences. From performances to exhibitions, the organization celebrates diverse voices and fosters community engagement.

Arts On is a community- based not for profit charitable organization, focusing on:
• Supporting Artists and local Arts Organizations;
• Providing citizens and visitors with meaningful opportunities to be exposed to and inspired by all forms of artistic expression; and
• Contributing positively to the local economy Arts On is currently offering and planning a variety of programs and presentations for all ages throughout the community. While the majority of patrons are local, Arts On attracts participation and audiences from elsewhere in Metro Vancouver and the Fraser Valley. While primarily focused on serving the citizens of Maple Ridge and Pitt Meadows, the organization is exploring the potential for greater collaboration with other regional arts organizations to expand its reach, audience and impact.

Job Description:

Liaising between the Arts Learning Programs and the Arts On LIVE series the Artistic Administrator supports the administration and coordination of all activities for Arts On/ The Maple Ridge and Pitt Meadows Arts Council. The job combines an administrative office role as well as an on-site role for Arts On performances and activities.

Within the Arts Learning Programs, the Artistic Administrator will primarily support the seasonal school activities in SD 42, which include in-school and after- school Arts Learning programs, spring break and summer camps and Pro-D Day student activities.

Within the Arts On LIVE performance series (6-10 annually), the role supports processing ticket sales by phone as needed, on-site coordination between venue, artist and audiences, including hospitality fulfillment in accordance with artists riders.

The role supports and coordinates the Volunteer Program that supports all Arts On activities, ensuring that all activities have adequate and well-trained volunteer support on-site.

The successful candidate is passionate about the arts and learning for all ages. As a highly organized person with strong administration skills, they will work within deadlines to utilize their creative skills to help Arts On deliver high-quality experiences that enrich the community through the arts.

Responsibilities:

Arts on LIVE Administration
•Process ticket sales by phone as needed, through the Arts On ticketing system (will train)
•Generate reports for ticket sales and event attendance as needed
•Enter/update customer records in the database as needed
•Arrange onsite coordination for volunteer staffing of Front-of House duties for performances as needed, for set-up crews, ushers, ticket takers and other onsite performance needs.

Arts Leaning Programs Administration
•Coordinate SD 42 school programs at local elementary schools, including scheduling with SD 42 administration, instructors and educators, on-site activities set-up, organizing and transporting supplies and welcoming participants.
• Assist in communication with educators to determine any advance needs for modifying activities for SEND students (Special Educational Needs and/or Disabilities)
•Provide additional administration to support school-related programming, including quality control initiatives, tracking school participation statistics, administering and processing evaluations as needed.
•Assist in organizing Annual Excellence in Arts Scholarship program
•Assist with other programs & events, as assigned

Volunteer Coordination Administration
•Ongoing communication with Programming Manager to assess all volunteer needs.
•Working with Programming Manager and Executive Director, creates and executes annual volunteer recruitment plans
•Supervises and directs the activities of volunteers on site.
•Maintains current database of volunteer information, including availability, qualifications, skills, etc.
•Keeps in regular contact with all volunteers, keeping them informed about the organization’s programs and volunteer opportunities.
•Organize and lead ongoing volunteer orientation, training, and recognition activities
•Frequently act as an onsite Supervisor to engage with volunteers and monitor activities
•Assist with any other relevant tasks as they may arise at the discretion of the Programming Manager or designate

Qualifications:

•At least 2 years of work experience in a similar administrative position, or related field
•Proven ability to establish and maintain effective working relationships with multiple stakeholders, and maintain a high level of customer service
•Experience working with volunteers
•A performing or visual arts education- related degree or diploma from a college/university an asset
•Personable and conscientious work ethic
•Ability to prioritize tasks and meet deadlines
•Demonstrated ability to work independently as well as collaboratively within a team environment
•Experience and/or knowledge of SEND programming (Special Educational Needs and/or Disabilities) is an asset
•A current BC driver’s license and access to a reliable vehicle or transportation
•Flexibility to work occasional evening and weekend hours, when required
•Ability to lift up to 30 lbs.
•Must submit to a vulnerable sector criminal background check

Skills:
•Excellent organizational, administrative, and interpersonal skills with a high level of attention to detail
•Highly proficient English language skills for in person, phone, and written communications
•A strong ability to multi-task, evaluate, and manage priorities
•Creative, collaborative thinker
•Confident in troubleshooting
•Skilled in utilizing MS Office for administration, particularly Word, Excel, and Outlook

Remuneration:

$27/ per hour + 4% vacation pay
