JOB DESCRIPTION:
Permanent Full-Time Position
8:30am to 4:30pm / Monday to Friday (Telecommuting Options Available)

The Admissions Associate liaises with applicants through the prospect, application, and admission process, ensuring timely and accurate communication. They work collaboratively within an integrated Student Services team and serve as a first point of contact for prospective and continuing students seeking admission and registration information. The role includes planning and organizing student tours and information sessions, recommending student monitor hires for tours and other activities, and assisting with recruitment events on and off campus. The Admissions Associate also provides administrative and clerical support to the Admissions and Recruitment area, processes admission documents, organizes applicant files, and works with the Admissions team to analyze administrative workflows, compile data, evaluate findings, and propose creative improvements.

RESPONSIBILITIES:

  • Provide administrative and clerical support to all functions of the University’s Admissions, Recruitment, and Continuing Studies programming.

  • Liaise with EducationPlannerBC and download, update, and maintain applications for all programming as required on the Student Information System (SIS).

  • Monitor and download electronic submissions of transcripts and English language proficiency test scores through Electronic Data Interchange websites such as IELTS, TOEFL, IB, and PARCHMENT Docufide, along with new systems as they arise.

  • Enter admission decisions and merge communication plan documents for all programs on the Student Information System (SIS).

  • Provide students with information in person, by phone, and via email regarding eligibility, admission policies and procedures, decisions, and portfolio requirements.

  • Provide general information about Financial Aid + Awards opportunities.

  • Communicate general information for all Student Services and Continuing Education functions to students, staff, faculty, and the public.

  • Maintain and implement the Communication Management Document System for Prospects and Applicants in the SIS.

  • Manage and update letter and email templates used throughout the admission cycle; process the conversion of new student application files to official student records and archive unregistered applicant files.

  • Organize the shipping and receiving of recruitment materials.

  • Assist with organizing portfolio reviews through SlideRoom as required.

  • Recommend and coordinate student monitors for university tours and other Student Services activities.

  • Maintain department files, records, and reports.

  • Assist with recruitment events on and off campus.

  • Adjust work schedule during peak admission/registration periods when necessary.

  • Perform other related duties as required.

QUALIFICATIONS:

  • Two years’ experience in a busy customer service, registration, or recruitment environment, or an equivalent combination of education and experience.

  • Excellent written and verbal communication skills.

  • Strong interpersonal, listening, problem solving, and customer relations skills.

  • Proficiency with Microsoft Office and Student Information Systems.

  • Ability to work effectively under pressure and in an open office setting.

  • Physical ability to support shipping and receiving of recruitment materials.

  • Ability to establish effective working relationships with students, staff, faculty, and the public.

REMUNERATION:
$55,528 to $59,404 per annum
