Kay Meek Arts Centre is a performing arts venue in the heart of West Vancouver. Every year KMAC presents a season of more than 80 concerts, plays, dance performances, films, speakers and other special events in the 500-seat Mainstage Theatre and the intimate McEwen Studio Theatre. When not being used for its own presentations, the Kay Meek Arts Centre facilities are available for rental to arts and community groups, including West Vancouver School District (SD45). The combination of hosted, rental and SD45 shows means the facility presents more than 300 performances every year.

JOB DESCRIPTION:
Kay Meek Arts Centre is seeking an Event Coordinator to play a key role in event planning and execution. The candidate should have exceptional communication and problem-solving skills with a keen interest in event management and the performing arts. The key objective of the role is to ensure all event details are confirmed and coordinated in a timely manner and communicated effectively.
The position requires the coordination of event details with rental clients, SD45 staff, and KMAC staff for all events hosted throughout the season. Additionally, presence at all (50+) Kay Meek Host Presentation live performances and events is required.
This is a part-time position requiring approximately 30 hours per week from August 19, 2025. There is an opportunity for some remote work. Evenings and weekends will be required to attend live events.
RESPONSIBILITIES:
Coordinating event details and inputting them into our Event Management Platform (YesPlan) for all rental and SD45 shows
Confirming the details with external rental clients and sending reminder emails prior to events
Participating in production meetings as required
Organizing and participating in volunteer recognition programs and special events
Purchasing and arranging hospitality for host programming artists
Setting up, reconciling, and reporting on merchandise sales using our Square payment system
Organizing and participating in non-ticketed host events including Culture Days, KMAC Open House, Season Launch, AGM, and the Harmony Arts Festival
Reporting on SOCAN usage quarterly
Adding and updating rental events on the website
Supporting KMAC at all host events throughout the season – approximately 50+ events per year
Other duties as required
QUALIFICATIONS:
Strong verbal and written communication skills
Strong relationship-building skills with the ability to foster trust and collaboration with clients, colleagues and stakeholders
Strong organizational skills with the ability to oversee multiple projects and meet various deadlines
Two years’ experience in event coordination within the performing arts sector
A demonstrated ability to work independently as well as collaboratively
The ability to learn new digital tools and systems related to arts administration
Preferred: a post-secondary degree or certificate in arts management, events management, theatre, music, or hospitality
