ORGANIZATION DESCRIPTION:
New Performance Works Society (New Works) is seeking a Program Coordinator to join its Artist and Company management team to cover a six-month leave. Specifically, this position supports the educational initiatives of Out Innerspace Dance Theatre (OIS) and Q7 studio facility activities.

OIS is dedicated to contemporary dance education, creation, and production. Led by Artistic Directors David Raymond and Tiffany Tregarthen, OIS creates interdisciplinary danceworks that tour nationally and internationally. Modus Operandi (MO), a project of OIS, provides a full-time multi-year development program for young aspiring dance professionals, enrolling 30–35 participants annually. The majority of participants remain enrolled for four years and go on to dance professionally with nationally and internationally recognized dance companies. In addition, OIS offers summer training programs and year-round special initiatives.

New Works and OIS share space at Q7 studios (77 East 7th Ave.). The Program Coordinator supports day-to-day activity related to all Q7-based programs and activities, with a focus on student/participant management and communications.

JOB DESCRIPTION:
The Program Coordinator provides administrative and program support to Out Innerspace Dance Theatre and Q7 studio facility activities. The role involves student/participant management, communications, event support, and facility coordination.

RESPONSIBILITIES:

  • Manage registration database/CRM system (build programs and classes, pull reports and lists, train and support other users including instructors)

  • Email and phone correspondence with current and potential program participants (registrar/student liaison)

  • Process program registrations and fees

  • Coordinate program enrollments and auditions

  • Provide event planning and production support for end-of-year shows and all other MO performances and events

  • Manage program calendars and studio bookings

  • Liaise with all studio users to arrange for access and building security

  • Manage facility security and cleaning contractors

  • Manage facility supplies inventory, including ordering and payments

  • Process guest faculty invoices and payments

  • Track activity statistics and monitor grant reporting requirements

  • Provide other program-related support activities

QUALIFICATIONS:

  • Previous experience in a similar training or arts-related work environment

  • Knowledge or experience of dance and/or dance education

  • Experience in a team-centred, collaborative business or not-for-profit environment with strong interpersonal, communication, and organizational skills

  • Experience in a self-directed work environment with proven ability to manage and triage tasks, with excellent personal time management

  • Proficiency in MS Office, G Suite, and basic understanding of database and CRM systems

  • Program and/or facility scheduling experience

  • Ability to manage many details on multiple projects with varying deadlines

REMUNERATION:
This is a part-time employment contract based on 18 hours per week. Hours will be worked on a regular weekly schedule, Monday to Friday between 8:30am and 5:30pm, with significant schedule flexibility. Most work will take place on site in the New Works office at Q7 (77 East 7th Avenue, Vancouver). Remuneration is $26–$28 per hour, dependent on candidate qualifications and experience, plus 4% vacation pay.
