ORGANIZATION DESCRIPTION:
Now in its 95th season, the Vancouver Bach Family of Choirs (VBFC) provides high quality training and performances of traditional and new choral works for all communities of all ages. With nine choral ensembles, the VBFC is the only organization in Metro Vancouver that provides choral singing and education to over 400 voices from pre-kindergarten choral training classes to three performing adult ensembles, including the flagship Symphonic Choir, the Vancouver Bach Choir. We are committed to offering choral education and vibrant and diverse choral experiences to our singers and audiences throughout the year.
As one of the largest choral organizations in Canada, the Vancouver Bach Family of Choirs explores a wide range of repertoire from the past to the present with passion and commitment. Through its series of concerts presented at the magnificent Orpheum Theatre and other stellar venues throughout the Lower Mainland and beyond, the organization continues to meet its mandate of choral education, as well as commissioning and performing works by Canadian composers alongside the world’s favourite symphonic choral works. The Symphonic Choir, under the baton of Maestro Leslie Dala, celebrates its 95th season in 2025–26. Maestro Dala is Music Director of the adult side of our programs, comprising Sarabande, Cantabile, and the Symphonic Choir. The children’s program, now comprised of six choirs for children ages 4–18, celebrates its 41st year, overseen by Music Director Marisa Gaetanne, with conductors Catherine Campolin and Emma Verret (mat cover) running our youngest choirs.

JOB DESCRIPTION:
The Vancouver Bach Family of Choirs is hiring an Operations Coordinator to join its small but mighty administrative team. This is a part-time (20 hours per week) position, reporting to the Executive Director, with some flexibility around working hours and locations (around rehearsals), and a competitive compensation package including health benefits and annual paid vacation. The successful candidate will work closely with the Executive Director and is responsible for the day-to-day administration of choir operations, especially the Children’s Choirs, alongside a small, collaborative administrative team and committed artistic team. Other working relationships include music directors and conductors, rehearsal assistants, pianists, parents, and singers. The VBFC is committed to working with its staff to develop transferable skills in line with career development and aspirations. As part of a small, committed team, the successful candidate will have many opportunities, alongside regular responsibilities, to be involved in many aspects of the organization to build their portfolio and develop work in areas of interest. RESPONSIBILITIES:

  • Book and schedule rehearsal venues and coordinate staffing

  • Ensure operations of rehearsals and children’s choir performances are successful by overseeing events and liaising with appropriate staff

  • Deal with complaints, concerns, and complex issues brought to the choir by Children’s Choir parents or singers

  • Work with the Children’s Choir Music Director and conductors to ensure copying and distribution of music to all children’s choirs

  • Liaise with the Executive Director and Music Directors to coordinate and distribute rehearsal and concert schedules (Children’s Choirs)

  • Prepare weekly e-newsletters for all children’s choirs and printed notices as required

  • Maintain CRM database (Choir Genius) and monitor and implement registrations and payments, with assistance from the Office Administrator

  • Field audition enquiries and coordinate audition schedules for all children’s choirs

  • Coordinate and oversee attendance for all children’s programs, including being onsite for some rehearsals

  • Manage both student and parent volunteers for children’s concerts

  • Assist with front-of-house duties for mainstage events when necessary

  • Coordinate uniforms for all singers in children’s programs

QUALIFICATIONS:

  • Proficient in Microsoft Office Suite and Google Apps; quick to learn new applications

  • Knowledge of WordPress and social media is an asset but not required

  • Knowledge of CRM software (Choir Genius) is an asset but not required

  • Capable of lifting up to 30 lbs

  • Valid Class 5 Driver’s License

  • Ability to move between rehearsal sites and central office

  • Knowledge of classical music, children’s programming, choral singing, and non-profit administration is an asset but not required

  • Excellent problem-solving and communication skills, especially when working with parents and singing members

  • Sensitivity to different cultural and language backgrounds of clientele

  • Excellent written skills and creative thinking

  • Enjoys working as part of a collaborative team in an open and transparent working environment

  • Ability to work independently with a flexible schedule, including evenings and weekends as required

  • Must be willing to submit to a criminal record check upon acceptance of the position

REMUNERATION:
$45,000–$50,000 (pro rata, 20 hours/week) per annum, dependent on experience, plus health benefits, annual vacation, and additional holiday office closure for the Christmas season.
