JOB DESCRIPTION:
The Administration and Communications Assistant is a key member in the daily administration and communications of the Firehall Arts Centre and provides integral support to the management and organization of the facility. Reporting to the Senior Management Team of the Artistic Producer and General Manager, this position offers an excellent opportunity for individuals wishing to gain experience in arts administration and the operations and promotions of a vibrant producing and presenting performing and visual arts centre. This is a full-time position working 35 hours a week, Monday through Friday, 9:00AM to 5:00PM, with a salaried range of $36,400 to $39,000 dependent on experience.

RESPONSIBILITIES:
General Administrative Duties

  • Assist Artistic Producer (AP) and General Manager (GM) as requested in general administrative duties

  • Other additional duties as requested in support of day-to-day operations of the Firehall Arts Centre

Office Coordination/Reception

  • Serve as receptionist, answering incoming calls, taking messages, directing calls to appropriate individuals, greeting visitors, and managing general inquiries

  • Open office daily, retrieve voice messages, and ensure messages are forwarded to appropriate staff

  • Welcome in-person visitors and direct them accordingly

  • Manage info@firehallartscentre.ca and accounting emails, directing questions to appropriate staff if unable to provide information

  • Sort printed mail and respond to correspondence as requested

  • Facilitate deliveries and general building inquiries (e.g., BC Hydro) and forward those requiring additional information to the General Manager

  • Support the General Manager in coordinating studio rentals by providing access and information

  • Ensure phone messages are up to date and phones are operational

  • Process donation receipts and track all donations; for monthly donors, ensure annual receipts are sent

  • Process and submit bank deposits including bar, box office, rental, and donation deposits

Marketing

  • Work under the direction of the Director of Development and Senior Management Team to assist with promotional initiatives

  • Assist with social media posts, distribution, and ordering of print materials

  • Collaborate on outreach and engagement initiatives

  • Assist in the maintenance of the WordPress website and updating the digital sign

  • Assist in creating and distributing newsletters, at minimum on a bi-weekly basis

  • Assist with in-house design as needed, including fundraising/donor support programs

  • Coordinate and create Firehall production and presentation show programs

  • Ensure archives are up to date and maintain online previews/reviews and printed media

Box Office

  • When Box Office staff are absent, answer telephone and handle in-person and over-the-phone ticket sales using Spektrix ticketing software

  • Assist Front of House during weekday matinees as needed

  • Check box office email and respond to messages in a timely manner

  • Assist Box Office as a Firehall liaison with season pass holders, group bookings, and Firehall members

  • Manage invitation lists, RSVPs, and media reserves in conjunction with Publicist and Director of Development

QUALIFICATIONS:

  • Strong interpersonal skills and comfortable communicating verbally and in writing

  • Passion for the performing arts

  • Comfortable working in a busy arts organization with a small core team

  • Knowledge of Vancouver’s arts and community service non-profit sector is an asset

  • Knowledge of Sage 50, WordPress, Adobe InDesign, and Spektrix ticketing system is an asset

  • High level of computer proficiency including Windows, Excel, and Microsoft Word

  • Post-secondary education in arts management or relevant experience is an asset

  • Able to prioritize, multitask, and work under minimal supervision

  • Strong follow-through on tasks and issues

  • Strong organization skills, detail-oriented, self-motivated, and able to problem-solve
