Job Description:
Reporting to the Executive Director, the Grant Programs Manager is responsible for planning, marketing, implementing, managing and evaluating VHF’s grant programs. The Grant Programs Manager coordinates VHF’s technical information and support for heritage conservation including online information resources, trades and professionals lists The Grant Programs Manager works collaboratively with VHF’s Director of Education on the Heritage in Schools and Heritage Conservation Education programs. The VHF staff team works collaboratively on annual major events. A benefits package will be available after the 3 month probationary period. The anticipated start date for the role is October 5th 2026.

- True Colours historical paint palette Plan, market, implement and evaluate VHF grant programs including:
• Design and manage grant program processes, informational materials and forms[SC1.1].
• Work with the VHF Communications consultant [SC2.1]to market grant programs; develop and deliver [SC3.1]information sessions about programs; develop and implement signage, flyers and mailouts; develop outreach strategies for grant program target audiences. [LC4.1]
• Maintain program information, resources and applications on the VHF website for all grant programs.
• Manage the True Colours historical paint palette, including documenting paint analyses, promoting awareness and supporting availability of Colours with Sherwin Williams.
• Manage and track all enquiries, applications, participants and results.
• Coordinate the adjudication processes and Granting Committee activities, including preparing all meeting materials, scheduling and convening grant committee review meetings.
• Create and submit detailed reports on committee results and recommendations for each grant program to the Executive Director for Board review.
• Manage the annual budget for grant programs; track program expenditures, organize grant payments and maintain accurate financial reports.
• Work with the Executive Director and VHF bookkeeper quarterly to ensure grant financials are accurate at year end (December 31st) for our annual audit in January
• Coordinate site visits with relevant professionals to grant recipients as needed.
• Document program participation and information tracking for use in promoting and reporting.
• Prepare detailed and accurate yearly reports for each program. Documentation is submitted annually to each funder, including the City of Vancouver.
• Evaluate granting process, recommend and implement improvements as appropriate
Collaborative Programs:

- Other programs and major events as required (ie. Heritage Discovery Day, Heritage Week)
• Support the Director of Education in administering Field Trip Grants.
• Support the Director of Education in the creation and management of Heritage Conservation Education courses.
• Attend and perform day-of tasks for annual major VHF events[SC5.1]
• Undertake other duties as required, assist with other VHF activities when needed and participate in annual fundraising events to support VHF and program goals
• Assist with administrative planning tasks, such as recommending heritage sites or participating in volunteer team training as directed by the Volunteer Manager for Heritage Discovery Day in June. [SC6.1]
• Cultivate relationships with other organizations and individuals in support of VHF’s mission and activities
• Act as an ambassador and advocate for VHF, and contribute to upholding VHF’s reputation as a knowledgeable, professional organization.
General:
• Maintain VHF lists of trades and professionals for heritage-related work
• Maintain and add to VHF’s technical information resources online
• Maintain the House Styles tool and convene the House Styles committee as needed
• Track and maintain information on other funding sources available for heritage projects
• Assist homeowners, building owners, professionals and others with heritage conservation information
Qualifications:
Suggested skills and background, recognizing that no individual candidate will have all these qualifications:
• Familiarity with heritage conservation principles and practices, including the Standards and Guidelines for the Conservation of Historic Places in Canada.
• Relevant undergraduate or master’s degree or equivalent post-secondary education and experience in the field, preferably in heritage conservation, history, anthropology, sociology, cultural heritage, planning, built environment fields, relevant trades, or related discipline.
• Experience maintaining data integrity across large Excel workbooks to support grant reporting, funding compliance, and audit readiness.
• Demonstrated ability to manage and track multiple budgets and ensure precise financial reporting.
• Project leadership experience including strong organizational skills, developing and managing multiple project timelines, and effective record keeping.
• A genuine interest in historic buildings and places, and their conservation.
• Familiarity with Vancouver’s history, development, cultural heritage and communities.
• Excellent communication and interpersonal skills, and ability to build relationships with stakeholders and partners.
• Ability to work collaboratively with others including colleagues, volunteers, board members and partner organizations.
• Excellent research and content writing skills for the purpose of conveying information to a variety of audiences.
• Experience with the following software is an asset: Wordpress, Microsoft Teams, Adobe Creative Suite, Canva
