Our studio is primarily a working production environment, with a small team and many moving parts behind the scenes.

Job Description:
We are looking for a highly organized, independent Studio Operations Coordinator to help run the operational side of our business. This is not a traditional office environment. Our production team is making glass throughout the day, priorities can shift quickly, and the owner is often unavailable while working in the hot shop.
The right person will be comfortable taking ownership of routine matters, keeping many moving pieces organized, and making sure customers, orders, deadlines and follow-ups do not get lost. This is a part-time, primarily on-site position of approximately 20 hours per week, ideally spread across four weekdays. This is not a glassblowing position or apprenticeship. Glass experience is not required.
Responsibilities:
Monitor and triage the general inbox and respond to routine customer, product and workshop inquiries
Coordinate pickups, appointments and order-status questions
Track retail, wholesale and commercial orders from receipt through completion and delivery
Maintain accurate active-order and production trackers
Identify missing information, conflicting quantities, outdated documents and approaching deadlines
Process and organize wholesale orders and maintain customer records, line sheets, price lists and product information
Follow up on approvals, deposits, invoices, customer information and unfinished conversations
Support workshop administration and customer communication
Coordinate routine shipping, freight, pickups and delivery information
Assist with Shopify order administration, product information and inventory
Track market and event deadlines, applications and vendor requirements
Maintain organized digital files, internal documents, checklists and procedures
Coordinate receipts and information required by the bookkeeper
Help manage routine office, packing and studio supply needs
Identify opportunities to simplify systems and reduce repetitive administrative work
A major part of this role is making sure nothing gets lost. The coordinator is expected to resolve routine matters independently and bring the owner only the decisions that genuinely require owner involvement.
Qualifications:
We are looking for someone who:
Is exceptionally organized and detail-oriented
Follows through without repeated reminders
Has strong, natural written communication skills
Can manage multiple priorities and changing information
Uses good judgment and is comfortable making reasonable decisions within established guidelines
Notices inconsistencies and problems before they become larger issues
Takes ownership rather than simply forwarding problems
Is confident using email, spreadsheets, calendars and cloud-based tools
Is comfortable learning systems such as Shopify
Can work independently in a busy production environment
Understands confidentiality and responsible handling of company information and system access
Enjoys building simple systems that make work easier
Relevant experience may come from small business operations, wholesale, e-commerce, administrative coordination, arts administration, galleries, design studios, manufacturing, events or high-end retail.
Glass experience is not required.

Remuneration:
$29 to $31 per hour, depending on experience.
