Job Description:
The Administration and Communications Coordinator is a key member in the daily administration and communications of the Firehall Arts Centre and is an integral support to the management and the organization of the facility.

Reporting to the Senior Management Team of the Artistic Producer and General Manager, this position provides the perfect opportunity for individuals to gain a broad knowledge of the operations of a vibrant producing and presenting performing and visual arts centre.

This is a full-time position working 35 hours a week, Monday through Friday, 9:00 AM to 5:00 PM, and is a salaried position of $40,000 to $44,000 dependent on experience.

Responsibilities:

General Administrative Duties

  • Assist Artistic Producer (AP) and General Manager (GM) as requested in general administrative duties

  • Additional duties as requested in support of the day-to-day operations of the Firehall Arts Centre

Office Coordination/Reception

  • Serve as receptionist by answering calls, taking messages, and directing inquiries

  • Open the office daily and check voicemail; forward messages appropriately

  • Greet and direct in-person visitors

  • Manage the info@firehallartscentre.ca and accounting email inboxes, directing as needed

  • Sort printed mail and respond to correspondence as requested

  • Facilitate deliveries and general building access; forward facility issues to GM

  • Support GM in coordinating studio rentals

  • Ensure voicemail is up to date, phones are operational

  • Process and track donation receipts, including annual receipts for monthly donors

  • Prepare and submit bank deposits (bar, box office, rentals, donations)

Marketing

  • Assist Director of Development and Senior Management Team with promotional initiatives

  • Support social media, print material orders and distribution

  • Contribute to outreach and engagement efforts

  • Maintain WordPress website and update digital sign

  • Assist in creating and distributing newsletters (minimum bi-weekly)

  • Assist with in-house design (e.g., fundraising, donor support programs)

  • Coordinate and create show programs for productions

  • Maintain archives, print and file previews, reviews, and print media annually

Box Office

  • Cover box office duties when staff unavailable (including weekday matinees)

  • Answer calls and process in-person/phone ticket sales using Spektrix

  • Check box office email and respond as needed

  • Liaise with pass holders, groups, and members

  • Manage invitation lists, RSVPs, and media reserves with Publicist and Director of Development

  • Review and update invitation lists for each production in consultation with Senior Management

Qualifications:

  • Strong interpersonal, verbal, and written communication skills

  • Enthusiasm for the performing arts

  • Ability to thrive in a busy arts organization with a small team

  • Familiarity with Vancouver’s arts and non-profit sector an asset

  • Knowledge of Sage 50, WordPress, Adobe InDesign, and Spektrix an asset

  • Proficient in Windows, Excel, and Microsoft Word

  • Post-secondary education in arts management or relevant experience an asset

  • Strong multitasking, prioritization, and follow-through skills

  • Highly organized, detail-oriented, and self-motivated
