This is a term position from October 14, 2025 to December 31, 2026.

The Contract Administrator supports various teams at Banff Centre with coordinating contracts for faculty and speakers and managing agreements with external stakeholders, as well as developing and implementing new processes, and training new employees. Confidentiality and discretion are paramount due to handling sensitive information, with a focus on upholding Banff Centre's brand and programs.
RESPONSIBILITIES:
Prepare agreements that support post-secondary learning activities, including faculty and speaker agreements, elder agreements, honorariums, liability waivers, photo/recording releases, licensing agreements, and property loans.
Maintain a library of approved agreements and contracts in compliance with Banff Centre policies, industry standards, copyright legislation, FOIP, CRA, IRCC, and other regulations.
Ensure final signed agreements are archived in compliance with FOIP, CRA, legal, and archival standards.
Conduct regular training sessions to update program delivery specialists, managers, and directors on relevant changes to regulations.
Act as the point of contact for faculty regarding contractual terms, CRA regulations, and immigration requirements.
Provide accurate documentation and assist international faculty with CRA resources and tax waivers.
Administer contract terms, process fee payments, reimburse expenses, arrange travel, accommodations, and meal plans.
Ensure completion of necessary Government of Canada documentation (e.g., SIN, work permits, IRCC compliance fee payments).
Reconcile partnership and parent account agreements post-program and submit for finance processing.
Process all contract-related payments in a timely manner.
Prepare annual reports and assist with accruals and deferrals for faculty-related expenses.
QUALIFICATIONS:
3+ years’ experience in an office support role, ideally in a non-profit, financial office, or corporate responsibility department.
Bachelor’s degree, diploma, certification, or equivalent work experience (arts, business administration, or non-profit preferred).
Strong interpersonal and client service skills; self-starter with ability to work independently.
Excellent organizational skills with attention to detail and ability to meet deadlines.
Advanced computer skills in Microsoft Office.
Appreciation of, or experience with, the arts, leadership, and mountain culture environments.

REMUNERATION:
$52,864.50 to $59,202.00 annually
