Founded in 2013, the Vancouver Youth Choir (VYC) provides a space for promising young singers aged 5 to 24 to develop their artistry in a creative and supportive community. The organization has quickly emerged as one of the most highly regarded youth choirs in the country, serving over 700 children and youth in 16 performing ensembles.

JOB DESCRIPTION:
The Vancouver Youth Choir is seeking an Administrative Assistant who has a passion for working with youth and supporting an organization that provides a space for promising young singers to develop their artistry in a creative and supportive environment.
This is a newly created role designed to strengthen the organization’s capacity across multiple areas. The position provides support for day-to-day operations, production logistics, and program delivery, ensuring that artistic and educational activities run smoothly. By bridging administrative, production, and program needs, this role plays a vital part in advancing the organization’s mission and enhancing the overall experience for singers, audiences, and community partners.
Our ideal candidate is a proactive, solutions-oriented individual who is eager to gain experience in a thriving arts organization. They are comfortable providing in-person support for volunteers and families, as well as offering behind-the-scenes assistance to ensure programs and events run smoothly. The candidate will thrive in our organizational culture, which values collaboration, creativity, and a growth mindset.
This position is 20 hours per week, with flexibility to work around your schedule and the potential to grow with the organization. The role is primarily remote and requires a quiet home office environment. Availability for in-person work on Wednesday evenings is required, with potential availability on Monday evenings. Occasional additional evening and weekend hours may also be needed.

RESPONSIBILITIES:
Rehearsal Venue Management (Monday & Wednesday evenings): Provide on-site support to ensure rehearsals run smoothly, including welcoming families and volunteers, managing logistics, and troubleshooting as needed
Bookkeeping Support: Assist with basic financial recordkeeping, including tracking expenses and maintaining accurate singer account records
Program Administration: Support registration processes, maintain accurate records, and assist with merchandise sales and distribution
Event Support: Provide logistical and administrative assistance for concerts and special events, including preparation, setup, and coordination with volunteers and families
Operations Support: Perform other related duties as assigned from time to time to support the organization’s operations and programs
QUALIFICATIONS:
Previous experience in administration an asset
Strong verbal and written communication skills, with proven problem-solving and organizational abilities
Bookkeeping experience preferred
Experience in the non-profit sector considered an asset
Experience with a performing arts organization considered an asset
Ability to prioritize tasks, manage time effectively, and meet deadlines
Strong interpersonal skills with the ability to build and maintain positive relationships with a wide range of stakeholders

REMUNERATION:
$26,000
