JOB DESCRIPTION:
The Assistant to the General & Artistic Director is central to the smooth operation of Goh Ballet Canada. This role supports the Director across administration, marketing, communications, and event coordination.
The ideal candidate is highly dedicated, exceptionally organized, proactive, and able to anticipate needs. You thrive in a fast-paced environment, approach challenges with resourcefulness and discretion, and maintain strong attention to detail. You communicate clearly and professionally with internal teams and external partners.
This role also includes significant responsibility in marketing and communications, including social media strategy, content creation, website coordination, and promotional campaign management—an exciting opportunity for candidates with creativity and strategic thinking.
RESPONSIBILITIES:
Executive and Administrative Support
Proactively manage the Director’s schedule, anticipating needs and adjusting priorities in real time.
Act as a resourceful administrative partner, independently resolving scheduling conflicts and addressing time-sensitive matters.
Draft, edit, and prepare correspondence, reports, and briefing materials with accuracy and professionalism.
Maintain organized filing systems, document tracking, and confidential records to ensure smooth information flow.
Support budget oversight by tracking expenses, preparing reconciliations, and providing accurate reporting.
Exercise discretion, maintain confidentiality, and represent the Director professionally.
Marketing and Communications
Support social media content creation, scheduling, and analytics while ensuring brand consistency.
Prepare marketing materials, newsletters, website updates, and promotional content with clarity and attention to detail.
Collaborate with internal teams and external partners, adapting to shifting timelines and project requirements.
Events and Stakeholder Coordination
Assist in planning and executing performances, events, photoshoots, and presentations with a solutions-focused approach.
Coordinate logistics such as schedules, call sheets, equipment, and transportation in fast-paced environments.
Support sponsor and stakeholder communication with polished, timely updates that reflect the Director’s voice.
Respond quickly to evolving event needs with resourceful, on-the-spot problem solving.
Operations and Organizational Support
Prepare meeting materials, agendas, room setup, and equipment with strong anticipatory planning.
Track action items, deadlines, and deliverables to support alignment across departments.
Support the Director with projects requiring initiative, independent decision-making, and comfort with ambiguity.
Identify workflow gaps and propose improvements to enhance operational efficiency.
Provide personal-assistant-style support as needed, including coordinating appointments, travel, and day-to-day logistics.
QUALIFICATIONS:
Post-secondary degree in Business Administration, Arts Administration, Communications, Marketing, or equivalent experience.
Minimum of 3 years’ experience in executive-level support or a similar role, preferably in an arts organization.
Highly organized, proactive, and able to manage multiple priorities.
Strong written and verbal communication skills and professionalism.
Creativity and experience in marketing, social media, and content creation.
Discretion, resourcefulness, adaptability, and strong attention to detail.
Eagerness to grow with the organization as Goh Ballet Canada expands.
Website and design experience is an asset, including familiarity with content management systems and design tools.
