JOB DESCRIPTION:
We are currently looking to hire a full-time Administrative Coordinator to handle multiple responsibilities, utilize different software for keeping records, and implement strategies. The suitable candidate will provide essential information management, organizational support, and administrative assistance to the Academy at the Vancouver location. RESPONSIBILITIES:
Project & Full Admin Support:

  • Provide full administrative services including communications with parent and adult communities, registrations, invoicing, word processing, travel arrangements, handling written correspondence and telephone messages, and confidential filing.

  • Research and route correspondence; draft letters and documents; collect and analyze information; initiate communications.

  • Utilize strong organizational and time-management skills to provide information and assist with systems building.

  • Prepare budgets, reconcile, and track related income and expenses.

  • Contribute to the administrative team with data entry, registrations, invoicing, and tracking.

  • Join colleagues as delegated by the Directors to support tasks including:

    • Annual recruitment targets and retention

    • Events, presentations, and productions

    • E-blast and monthly e-news communications

  • Provide support to the wardrobe department as a bridge between artistic and administrative responsibilities related to productions and events.

  • Manage special projects such as examination entries, third-party communications, and cross-department coordination.

Operations & Facilities Management:

  • Oversee facility cleaning, hygiene, safety, and maintenance, and track facility assets.

  • Ensure meeting preparation is completed, including booking rooms and arranging necessary equipment and refreshments.

  • Assist with IT infrastructure including hardware, software, network, security, backup, support, and troubleshooting.

  • Manage vendor relations.

QUALIFICATIONS:
You are dynamic, nimble, organized, detail-oriented, and self-motivated. You have experience providing project management and administrative support to high-level executives and can work independently with minimal instruction. You are thoughtful and trustworthy, yet resilient, flexible, and committed to improving our organization. You understand our mission and can help advance administrative processes, operations, and the important work of Goh Ballet Canada.

  • Post-secondary degree in a related field (business administration, arts administration, communications). Equivalent experience will be considered.

  • Minimum three years of experience in a similar supportive role.

  • Excellent verbal and written communication skills.

  • Ability to work in a fast-paced environment and assist in organizing priorities and deadlines.

  • Comfort with technology, including Microsoft Office 365, G-Suite; Canva or Adobe Creative Suite is an asset.

  • Creative and innovative problem-solving skills; willingness to seek out answers.

  • Flexible, adaptable, robust, and resilient, with strong attention to detail.

  • Excellent customer service mindset and ability to deliver work to a high standard.

  • Excellent presentation skills.

  • Ability to work well under pressure with proven capability to prioritize, manage, and meet conflicting deadlines.

  • Desire to grow with Goh Ballet Canada, taking on increased responsibility and a wide range of duties as needed.
