Position Summary
The role of the Equipment Assistant is to liaise with equipment renters and manage rentals, including the reservation process, invoicing, collecting payment, pickups, returns, inspection and basic maintenance of equipment items. Reporting to the Equipment Manager and the Executive Director, the Equipment Assistant will also assist with CineVic programming, events, and members/clients as required.
Candidates must be between 15-30 years old years oldat the start of employment, and eligible to work in Canada as per CSJ eligibility guidelines.
Wage: $19.50 per hour
Term: 9 weeks, June 23rd to August 29th 2025
Hours: 30 hours per week
Location: CineVic headquarters in downtown Victoria, with potential for some remote work
Responsibilities:
The Equipment Assistant’s responsibilities include but are not limited to:
• Ensuring that all equipment and in-house facilities are kept clean, organized, and in good working order, and ensuring that damaged equipment is tracked, reported, and repaired in a timely fashion.
• Using a calendar-based booking system to reserve equipment for renters, and keeping accurate records of bookings and communications.
• Using the Quickbooks platform to create and send invoices to renters.
• Implementing new digital equipment and client management systems.
• Executing, tracking, and filing rental contracts, and collecting payments using the Square payment system, e-transfers, cash, or cheque.
• Answering equipment and insurance questions from prospective renters, and communicating and enforcing CineVic policies regarding equipment rental and usage.
• Preparing rental items for pickup, including pre-rental inspection in tandem with the renter.
• Receiving equipment items for return, including post-rental inspection in tandem with the renter.
• Provide renters with detailed knowledge of specific equipment items.
• Processing member insurance applications.
• Opening, closing, and keyholding of CineVic facilities.
• Other such duties as may be required by the Equipment Manager or Executive Director from time to time.
Qualifications:
• Technical training in film and video production and/or film and video equipment.
• Familiarity with CineVic policies, bylaws, and equipment inventory, including both analogue and digital items.
• Front-line customer service experience, with excellent oral and written communication skills.
• High level of computer literacy and proficiency in a Mac environment; knowledge of and experience using Gmail, Google Calendar, Quickbooks, online forms and databases, invoicing and payment systems.
• Ability to lift and move heavy items.
• Confidence and skill in troubleshooting, and the capacity to be self-directed both in achieving tasks and finding solutions to problems.
• Organizational skills including setting priorities and meeting deadlines.
• Positive attitude, attention to detail, and showing accuracy in work.
• Ability to work under pressure and respond both independently and as a team-player in a multi-tasking environment.
• Desire to continually build knowledge, skills, and expertise.
• Knowledge of contemporary and local film and media arts landscape; experience working in the non-profit, film, or media arts sectors is an asset.
