JOB DESCRIPTION:
Reporting to the Managing Director, the Hospitality and Events Coordinator is responsible for ensuring that hospitality requirements of Festival artists are serviced as contracted and/or as determined by PuSh, and for coordinating ancillary events to the PuSh Festival, including the Industry Series.

PuSh will provide access to a vehicle for the duration of the Festival for use by the Hospitality and Events Coordinator if necessary.

The Hospitality and Events Coordinator supports the work of the Festival Producer, Industry Producer, Artistic Director, Managing Director, and Development Associate, and acts as an advocate of the PuSh International Performing Arts Festival Society (PuSh) to arts professionals, various stakeholders, and the community at large.

RESPONSIBILITIES:

  • Hospitality:

    • Coordinate requirements of Festival artist hospitality and select Festival events in consultation with Managing Director, Artistic Director, Industry Producer, and Festival Producer.

    • Review artist hospitality requests in collaboration with Producer and Production Manager.

    • Advance hospitality needs with artists as required.

    • Advance event catering and hospitality.

    • Manage and/or work within the Festival Hospitality Budget.

    • Coordinate the purchase, delivery, and implementation of all Festival artist hospitality rider requirements.

    • In collaboration with the Festival Producer, arrange delivery of welcome packages for Festival artists.

    • Support the Volunteer Coordinator in scheduling, supervising, and assisting in training of Festival Hospitality volunteers, and provide feedback on their performance.

  • Events:

    • Develop an Events Plan (in the Fall) in consultation with the Managing Director, Artistic Director, Industry Producer, Festival Producer, and Development Associate.

    • Develop and manage events budget, and bottom-line events from conception to completion, managing all aspects to ensure seamless delivery.

    • Work with the Managing Director and Development Associate to manage stewardship of Festival and event sponsors, and secure donations of event supplies including catering.

    • Support Volunteer Coordinator in supervising and assisting in the training of Festival event volunteers, and provide feedback on their performance.

    • Obtain liquor licenses and other legal requirements as needed.

    • Arrange and schedule pick-up and return of materials, décor, and food for events, including festival recognition signage.

    • Act as contact person for involvement of any artists and VIPs in Festival receptions and other artist events.

  • General:

    • Attend production meetings as scheduled by the Managing Director.

    • Represent the Society at events and meetings as necessary.

    • Participate in the Festival and other activities as necessary.

    • Support the efforts of the Society and other personnel as necessary.

    • Perform other duties as required.

QUALIFICATIONS:

  • Attributes We Seek:

    • Ability to work independently, take initiative, and manage key elements of the Festival.

    • Excellent problem-solving skills and adaptability.

    • Ability to work creatively and flexibly in a high-pressure, deadline-driven small-team environment.

    • Strong time management, accountability, and attention to detail.

    • Excellent verbal and written communication skills.

  • Candidate’s Experience:

    • Minimum of three cycles at a festival in a similar role, or equivalent professional experience.

    • Proven experience delivering excellent hospitality and customer service, ideally in a festival, conference, or large-scale event environment.

    • Proven experience planning public-facing events, including budgeting and working within financial constraints.

    • Self-starter who values collaboration and excels at working independently while managing multiple projects.

    • Working knowledge and experience with hospitality-sector businesses in Vancouver.

  • Considered an Asset:

    • Experience leading a team and directly managing a department or portfolio.

    • Experience working with sponsors, donors, and corporate partners.

    • Experience working with volunteers.

    • Familiarity with Vancouver’s performing arts sector.

REMUNERATION:
$7,500 total fee (estimated contract hours: 300)
