This is a term position to December 31, 2026.

In the spirit of respect and truth, we honour and acknowledge the Banff area, known as “Minhrpa” (translated in Stoney Nakoda as “the waterfalls”) and the Treaty 7 territory and oral practices of the Îyârhe Nakoda (Stoney Nakoda) – comprised of the Bearspaw, Chiniki, and Goodstoney Nations – as well as the Tsuut’ina First Nation and the Blackfoot Confederacy comprised of the Siksika, Piikani, Kainai. We acknowledge that this territory is home to the Shuswap Nations, Ktunaxa Nations, and Metis Nation of Alberta, Rocky View District 4.
The Contract Administrator supports various teams at Banff Centre with coordinating contracts for faculty and speakers and managing agreements with external stakeholders, as well as developing and implementing new processes, and training new employees. Confidentiality and discretion are paramount due to handling sensitive information, with a focus on upholding Banff Centre's brand and programs.
RESPONSIBILITIES:
Contract Management
Prepare agreements supporting post-secondary learning activities including faculty and speaker agreements, elder agreements, honorariums, liability waivers, and licensing agreements.
Maintain a library of approved agreements and contracts in compliance with Banff Centre policies, industry best practices, copyright legislation, FOIP, CRA, IRCC, and other regulations.
Ensure final signed agreements are archived according to records retention schedules and legal standards.
Conduct regular training sessions to update staff on changes to CRA, IRCC, or other regulations.
Faculty Contracts
Act as point of contact for faculty regarding contract terms, travel policies, and CRA tax status regulations.
Stay current on immigration rules to ensure faculty are legally entering and working in Canada.
Assist international faculty with CRA tax waiver applications.
Administer contract terms including fee payments, expenses, travel, accommodations, and meal plans.
Obtain and process necessary Government of Canada documentation (SIN, work permits, compliance fees, etc.).
Manage on-campus room bookings for faculty and sessional directors.
Financial
Reconcile partnership and parent account agreements at program conclusion and submit billing details to finance.
Ensure contract-related payments are processed promptly.
Prepare annual TD4 reports and other financial or administrative reports as required.
Support Directors in processing accruals and deferrals for faculty-related expenses.
QUALIFICATIONS:
3+ years’ experience in an office support role, preferably in a non-profit, financial, or corporate setting.
Bachelor’s degree, diploma, certification, and/or equivalent experience (arts, business, or non-profit administration preferred).
Excellent interpersonal and client service skills; a self-starter.
Strong organizational skills with attention to detail and deadlines.
Proficient in Microsoft Office.
Appreciation for or participation in the arts, leadership, and mountain cultures is an asset.
Employment Terms and Benefits
Term position to December 31, 2026.
In accordance with CUPE 4318, this is a unionized, salaried support position subject to a 6-month probation.
Annual salary: $52,864.50–$59,202.00, based on 37.5 hours per week.
Eligible for Alberta Blue Cross benefits and a defined benefit pension plan.
