VSO School of Music, founded in 2010, is a 25,000-square-foot state-of-the-art music school located adjacent to the Orpheum Theatre in downtown Vancouver. With a mission to enrich lives through the joy of learning, playing, and performing the world’s great music, the VSO SoM develops experiences that are accessible to all—regardless of age, ability, playing level, or economic circumstances—and nurtures creative and engaged members of society through achievement in the musical arts.
With a roster of over 1,900 students, the School offers individual and group instruction by members of the Vancouver Symphony Orchestra and other highly qualified music educators. The school also features a performance theatre (Pyatt Hall) and reception space, hosting a wide range of arts, entertainment, and corporate events, including performances, recordings, and special functions.

JOB DESCRIPTION:
We are seeking a highly organized and detail-oriented Artistic Operations Associate to support the coordination of orchestra personnel and artistic logistics. This role works closely with the Orchestra Personnel Manager and Artistic Planner to ensure smooth operations across auditions, guest artist arrangements, and production planning.
RESPONSIBILITIES:
Orchestra Personnel Coordination:
Maintain an up-to-date and accurate database of all extra musicians engaged by the VSO.
Assist in administering auditions for permanent and extra players.
Collaborate with the Orchestra Personnel Manager (OPM) to schedule audition times and panel meetings.
Assist the OPM in convening audition panels.
Liaise with permanent musical staff and represent the OPM as required.
Input data into ArtsVision (artistic planning platform), including payroll and related information.
Process invoices and purchase orders for travel, hotels, advertising, and other expenses as needed.
Perform other tasks as reasonably directed by the Orchestra Personnel Manager.
QUALIFICATIONS:
Strong interpersonal and communication skills, both written and verbal.
Knowledge of classical music to a degree level or equivalent experience.
Ability to work effectively within agreed budgets.
Understanding of the demands and culture of orchestral organizations.
Proficiency with Excel.
Positive and professional attitude contributing to a respectful workplace.
Ability to handle sensitive information with discretion and confidentiality.

REMUNERATION:
$50,000–$55,000 annually, based on experience. Includes two weeks of vacation, plus dental and medical benefits.
