VSO School of Music, founded in 2010, is a 25,000-square-foot state-of-the-art music school located adjacent to the Orpheum Theatre in downtown Vancouver. With a mission to enrich lives through the joy of learning, playing, and performing the world’s great music, the VSO SoM develops experiences that are accessible to all—regardless of age, ability, playing level, or economic circumstances—and nurtures creative and engaged members of society through achievement in the musical arts.

With a roster of over 1,900 students, the School is proud to offer individual and group instruction by members of the Vancouver Symphony Orchestra and other highly qualified music educators. JOB DESCRIPTION:
The VSO School of Music is currently seeking a dedicated and detail-oriented Office Administrator to join our team. The Office Administrator plays a key role in ensuring the smooth operation of the VSO School of Music. This position provides administrative assistant support to the Vice President, assists with day-to-day administrative and operational tasks across departments, and supports the preparation of documents for the Board of Directors and audit processes.

RESPONSIBILITIES:

  • Provide administrative assistant support to the Vice President, including calendar management, correspondence, and meeting preparation.

  • Support general administrative operations across the school, including scheduling, filing, and office coordination.

  • Assist in preparing and organizing documents for meetings, contracting, and audit preparation.

  • Maintain confidentiality and exercise discretion in handling sensitive information.

  • Coordinate with internal teams to ensure smooth communication and workflow.

  • Support data entry and reporting tasks, particularly within the CRM system (ActiveNet).

  • Provide occasional logistical support for events or classroom setup.

  • Perform other duties as assigned.

QUALIFICATIONS:

  • Proven experience in administrative or executive assistant roles.

  • Bachelor’s degree in Business Administration or a related field, or equivalent experience.

  • 1–2 years of experience in an administrative support role.

  • Exceptional attention to detail and organizational skills.

  • Ability to maintain confidentiality and exercise sound judgment.

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).

  • Experience with ActiveNet or similar CRM systems is considered an asset.

  • Strong written and verbal communication skills.

  • Ability to work independently and collaboratively in a fast-paced environment.

  • Ability to lift up to 50 lbs is considered an asset.

  • Class 5 BC Driver’s License is considered an asset.

REMUNERATION:
$51,000–$52,500 annually, plus two weeks’ vacation and medical and dental benefits.
